Position Summary The Patient Care Coordinator serves as the first point of contact for patients and visitors and plays a critical role in creating an exceptional patient experience. This position is responsible for managing patient scheduling, answering phones, coordinating front desk operations, collecting payments, maintaining accurate records, and ensuring smooth patient flow throughout the clinic. The ideal candidate is professional, highly organized, detail-oriented, and passionate about providing outstanding customer service. Candidates with prior healthcare experience are strongly preferred. Medical Assistant (MA), EMT, or Paramedic credentials are highly desirable and may provide opportunities for additional clinical support responsibilities based on training and licensure. Key ResponsibilitiesPatient Experience Greet patients and visitors with warmth, professionalism, and discretion. Manage patient check-in and check-out processes. Ensure all required paperwork, consents, and documentation are completed accurately. Provide concierge-level service while maintaining patient confidentiality and HIPAA compliance. Address patient questions and concerns and escalate issues appropriately. Scheduling & Communication Answer inbound phone calls and respond to patient inquiries. Schedule, confirm, reschedule, and cancel appointments. Collect deposits and payments according to clinic policies. Maintain accurate patient records and scheduling systems. Track referral sources and patient communication activities. Administrative Support Process supplement orders and patient payments. Assist providers with chart preparation and patient intake documentation. Support clinic operations through organization, inventory management, and front desk coordination. Maintain a clean, organized, and welcoming reception area. Clinical Support (Based on Training & Licensure) Obtain and document vital signs. Assist with patient intake and room preparation. Support clinical staff with non-invasive patient care activities. Help maintain treatment room readiness and inventory.
Qualifications Required:
High school diploma or GED. Excellent communication and customer service skills. Strong organizational and multitasking abilities. Ability to work in a fast-paced, patient-focused environment. Professional appearance and demeanor.
Preferred:
Medical Assistant Certification (CMA, RMA, CCMA, or equivalent). EMT or Paramedic certification/licensure (experience with IV's) Prior experience in a medical office, wellness clinic, concierge practice, or healthcare setting. Familiarity with EMR systems and HIPAA requirements. Knowledge of regenerative medicine, wellness, supplements, or anti-aging services. What Success Looks Like Patients consistently receive a welcoming and seamless experience. Schedules remain organized and optimized. Payments, deposits, and patient records are accurate and up to date. Communication between patients, providers, and staff is timely and professional. The front desk operates efficiently with minimal supervision.
