Clinical Operations Manager / Medical Director / Office Manager Job Overview We are seeking a highly organized and clinically capable Patient Coordinator / Medical Assistant to support both administrative and clinical operations within a fast-paced medical office environment. This role is responsible for managing the full patient experience—from intake to check-out—while also assisting with basic clinical tasks such as vital signs and EKGs. The ideal candidate is detail-oriented, patient-focused, and able to work efficiently across administrative, clinical, and coordination functions. This position plays a key role in ensuring smooth patient flow, accurate documentation, and high-quality care coordination, including special attention for VIP patients.

$24.00 per hour Benefits Paid Time Off (PTO) Paid Holidays 401(k) Retirement Plan Professional Development Opportunities Career Growth Within a Rapidly Expanding Healthcare Organization Key Responsibilities Patient Intake & Front Office Operations Greet and check in patients upon arrival Verify insurance coverage, eligibility, and benefits Collect co-pays, required documents, and update patient demographics Enter and update patient information in the EMR system Ensure smooth patient flow and notify clinical staff of arrivals Clinical Support Duties (Medical Assistant Functions) Obtain and record vital signs (blood pressure, temperature, heart rate, etc.) Perform EKGs as required Document clinical data accurately in the EMR Prepare patients for provider evaluation Care Coordination Schedule laboratory testing, imaging, and diagnostic services Coordinate referrals to specialists and external providers Follow up on pending results, orders, and appointments Provide enhanced coordination and priority support for VIP patients Patient Check-Out Process Review provider instructions with patients Schedule follow-up appointments Provide lab orders, referrals, and prescription instructions as directed Ensure all documentation and visit requirements are completed Administrative Responsibilities Open, sort, and manage incoming mail Maintain and organize medical supplies and office inventory Ensure accurate documentation and compliance with office procedures Communicate effectively with providers and team members regarding patient updates Daily Workflow Summary Start of Day Log into EMR, scheduling, and insurance systems Review daily schedule and prepare patient charts Throughout the Day Manage patient intake and check-out Support clinical staff with vitals and EKGs Coordinate referrals, labs, and diagnostics Maintain real-time documentation and patient flow End of Day Confirm completion of documentation Follow up on pending tasks (labs, referrals, scheduling) Organize supplies and prepare for next-day schedule Tools & Systems Used Electronic Medical Records (EMR) system Insurance verification portals Scheduling and appointment systems Vital sign monitoring equipment EKG machine and related diagnostic tools Key Collaborations Physicians and Advanced Practice Providers Medical Assistants and Clinical Staff Insurance companies and verification systems Laboratories and diagnostic centers Specialty care providers and referral partners Administrative and front office teams Core Competencies Strong attention to detail and accuracy Excellent communication and patient service skills Ability to multitask in a fast-paced clinical environment Strong organizational and time management skills Basic clinical competency (vitals, EKG, patient prep) Professionalism in handling VIP and high-priority patients Daily Responsibilities Include Patient intake and discharge coordination Insurance verification and eligibility checks Scheduling and coordination of medical services Clinical support (vitals and EKGs) Documentation and EMR updates Supply and mail management Opportunities for Growth & Improvement Streamlining insurance verification workflows Improving patient flow and reducing wait times Enhancing coordination between labs and specialists Standardizing VIP patient experience protocols Improving EMR documentation efficiency and accuracy
