We are looking for a Luxury Front Desk & Patient Experience Coordinator who understands that the front desk is not simply an administrative position — it is the face, energy, and first impression of the practice. This person should naturally combine high-end hospitality, beauty and wellness culture, exceptional organization, warmth, and confident communication. This position is specifically intended for afternoon/evening coverage. Candidates must be available for shifts such as 12:00 PM-6:00 PM and, on certain days, 2:00 PM-8:00 PM. Responsibilities Serve as the primary point of contact for kiwiMEDSPA patients from arrival through checkout. Create a consistently polished and welcoming front-desk experience. Manage incoming calls, texts, patient inquiries, scheduling, confirmations, rescheduling, and follow-up communication. Welcome and check in patients while maintaining an organized and visually impeccable reception area. Coordinate patient flow with providers, medical staff, estheticians, and management. Explain available services and help patients identify the appropriate next step, including scheduling consultations when clinical evaluation is required. Assist with the sale and scheduling of services that may appropriately be booked directly through the front desk. Educate patients about memberships, packages, promotions, skincare products, and available services within the scope of the position. Identify appropriate opportunities for rebooking and additional services without using aggressive sales tactics. Complete checkout, collect payments, schedule future appointments, and ensure the patient leaves knowing their next step. Follow up with leads and prospective patients who have contacted the practice but have not yet scheduled. Maintain accurate patient information and documentation within practice systems. Assist with patient photography, consent workflows, forms, and administrative preparation when appropriate. Protect patient privacy and follow kiwiMEDSPA HIPAA, confidentiality, communication, and documentation protocols. Maintain familiarity with kiwiMEDSPA services, including medical aesthetics, laser and energy-based treatments, skincare, body treatments, hair restoration, longevity, and medical weight-management programs. Support special events, promotions, patient-experience initiatives, and practice-growth activities. Maintain the visual presentation of the reception and patient-facing areas throughout the day. Escalate clinical questions to the appropriate licensed provider rather than providing medical advice. Perform additional front-office and patient-experience duties reasonably related to the position. What Success Looks Like A successful person in this role does more than answer the phone. Patients should feel that kiwiMEDSPA is organized, elevated, attentive, and different from an ordinary medical office from the first interaction. The Front Desk & Patient Experience Coordinator should know regular patients by name, anticipate needs, communicate clearly, protect the providers' schedules, convert appropriate inquiries into appointments, encourage rebooking, and maintain an exceptional patient experience without making patients feel pressured. Luxury medspa Dermatology Cosmetic medicine Luxury salon or spa Premium hospitality High-end retail Beauty or wellness Previous medical front-desk experience is helpful, but luxury hospitality instincts, communication skills, professionalism, and the ability to learn quickly are equally important.
Technology:
Comfort with modern scheduling, CRM, communication, payment, and practice-management technology is required. Experience with platforms such as Podium, Spruce, Stripe, or similar systems is a plus.

This is a highly visible, patient-facing position. Employees are expected to maintain a clean, polished, professional appearance and excellent personal grooming consistent with kiwiMEDSPA's luxury brand standards, applied uniformly and without regard to protected characteristics. Professional discretion, confidentiality, appropriate boundaries, and respectful communication are essential. Dacula, GA This position is ideal for candidates located in Dacula, Buford, Lawrenceville, Suwanee, Duluth, Gainesville, Braselton, Flowery Branch, and surrounding North Atlanta communities. On-site | Full-Time 40 hrs. 5 days a week. Sunday Off $ competitive, based on experience
