This role manages administrative staff, coordinates scheduling and billing, supports the dental team, and acts as a liaison between providers, staff, patients, and vendors. Practice Operations
  • Oversee daily front-office and administrative operations to ensure efficiency and consistency
  • Develop, implement, and maintain office policies, procedures, and workflows; collaborate with HR to update the employee manual annually or as needed
  • Ensure compliance with OSHA, HIPAA, state dental regulations, and insurance requirements; establish and lead a local office compliance team
  • Manage office supplies, equipment maintenance schedules, and vendor relationships while adhering to approved budgets
  • Participate in weekly leadership meetings with the CEO, COO, and Executive Administrator to provide operational updates Staff Management
  • Plan and lead weekly morning huddles to align staff on goals and priorities
  • Plan and lead weekly leadership meetings with GSD leadership team
  • Oversee all staff with regular communication and accountability through department leads
  • Hire, train, supervise, and evaluate administrative and support staff
  • Create and manage staff schedules, timekeeping, and coverage needs
  • Foster a positive, professional, and team-oriented work environment
  • Serve as the first point of contact for employee concerns, conflicts, and performance issues
  • Ensure performance expectations and accountability through coaching and counseling as needed Patient Experience
  • Ensure exceptional customer service and a consistently positive patient experience
  • Address patient inquiries, complaints, and concerns professionally and promptly
  • Monitor scheduling efficiency and patient flow to minimize wait times
  • Support patient retention, recall, and follow-up systems Financial & Billing Management
  • Oversee billing operations, including insurance verification, claims submission, and collections
  • Monitor accounts receivable and follow up on unpaid or delayed claims
  • Review daily, weekly, and monthly financial and production reports
  • Manage budgets, ensure compliance, report variances, and implement cost-control measures Scheduling & Productivity
  • Collaborate with operations and marketing teams to optimize provider and hygiene schedules for maximum productivity
  • Meet regularly with treatment coordinators and billing leadership to improve schedule efficiency
  • Coordinate appointments, recalls, and treatment plan follow-ups
  • Track production goals and support practice growth initiatives Communication & Leadership
  • Serve as the primary point of contact for staff and providers at Godley Station Dental
  • Clearly communicate practice goals, expectations, and operational updates
  • Support marketing initiatives, patient outreach, and reputation management efforts Qualifications
  • 2-5 years of experience in a dental office or healthcare administration setting
  • Strong knowledge of dental insurance, billing processes, and practice management operations
  • Excellent leadership, communication, and organizational skills
  • Associate's or Bachelor's degree in healthcare administration, business, or a related field
  • Proven dental office management experience
  • Proficiency with dental practice software (e.g., Dentrix, Eaglesoft, Open Dental) Skills & Competencies
