Not just someone to answer phones and schedule appointments. We're looking for someone who understands that the front desk sets the tone for the entire patient experience—from the first phone call to the moment a patient walks out the door. The right person will help make our patients feel welcomed, heard, respected, and genuinely cared for while also helping keep the practice organized and running smoothly behind the scenes. You'll have a voice here. As our practice continues to grow, your ideas, initiative, and willingness to help improve how we do things will matter. We want someone who doesn't just see a problem—we want someone who thinks, "How can we make this better?" Responsibilities Welcome patients and create a warm, professional first impression Answer phones, respond to patient messages, and assist patients with questions Schedule and manage appointments Check patients in and out and assist with payments and account questions Verify insurance and assist with insurance-related administrative tasks Request, receive, and track medical records Manage electronic faxes, incoming documents, and data entry Communicate with pharmacies, other medical offices, and insurance companies as needed Maintain accurate patient information and documentation in AthenaHealth Protect patient privacy and maintain HIPAA compliance Support providers and clinical staff with day-to-day operational needs Help keep the front office organized, efficient, and welcoming Identify opportunities to improve workflows and the patient experience Jump in wherever needed—because in a growing practice, we succeed as one team What We're Looking For We're looking for someone who is: Warm, personable, and genuinely enjoys helping people Highly organized with exceptional attention to detail Dependable and someone others can count on A strong communicator who is comfortable talking with patients Able to multitask without losing track of details A quick learner who is comfortable with technology and new systems Self-motivated and willing to take initiative A problem-solver who looks for solutions rather than waiting to be told what to do Flexible and comfortable with changing priorities Professional, positive, and able to work well as part of a close-knit team Medical office experience is preferred, but the right person with the right attitude and work ethic can absolutely be trained. Experience with AthenaHealth, insurance verification, medical records, or medical billing is a plus. This role isn't for everyone.
