Job Description

Synergy Healthcare for Kids is seeking a highly organized, detail-oriented Office Administrator to join our growing team. This position is ideal for a dependable professional who thrives in a fast-paced healthcare environment, enjoys managing multiple priorities, and takes pride in providing exceptional service to patients, families, providers, and staff. The ideal candidate has experience in healthcare administration and is proficient in insurance verification and prior authorizations, healthcare scheduling, electronic medical records (EMRs), and coordinating administrative workflows with a high level of accuracy and efficiency. Success in this role requires strong organizational skills, attention to detail, excellent communication, and the ability to adapt in a collaborative, patient-centered setting. Key Responsibilities Verify Medicaid and commercial insurance eligibility, benefits, and coverage. Submit, track, and maintain insurance authorizations, ensuring services remain authorized and up to date. Monitor authorization utilization and proactively follow up on renewals and extensions. Coordinate patient and provider schedules while maximizing efficiency and minimizing scheduling conflicts. Maintain accurate patient records within the electronic medical record (EMR) system. Assist with new patient registration, intake documentation, and required insurance paperwork. Support billing by ensuring documentation, authorizations, and patient information are complete and accurate. Answer phones, respond to emails, and provide professional, compassionate customer service. Create, update, and maintain reports using Microsoft Excel and other Microsoft Office applications. Assist with administrative projects and daily office operations. Help manage daily office flow, including opening the clinic, organizing documents, and maintaining a tidy front office and clinic environment Greet patients and families and help create a welcoming experience Collaborate closely with coworkers to support smooth clinic operations Qualifications Minimum of 1 year of healthcare or medical office administrative experience preferred. Experience verifying Medicaid and commercial insurance benefits. Experience obtaining and managing insurance authorizations. Experience using an electronic medical record (EMR) system. Strong proficiency in Microsoft Excel, including sorting, filtering, formulas, and data management. Excellent organizational skills with exceptional attention to detail. Ability to prioritize multiple deadlines while maintaining accuracy. Strong written and verbal communication skills. Ability to maintain confidentiality and comply with HIPAA requirements.
