Patient Coordinator / Wellness Concierge Qi Wellness Clinic - Lemont, IL 12420 Archer Ave., Unit A, Lemont, IL 60439 About Us Qi Wellness Clinic is a luxury holistic wellness clinic dedicated to helping people feel younger, healthier, and stronger through personalized wellness programs. We combine advanced wellness technologies with exceptional client care in a warm, welcoming environment. Position Summary We are looking for a friendly, organized, and sales-minded Patient Coordinator to be the first impression of our clinic. This role is ideal for someone who enjoys helping people, building relationships, and creating exceptional client experiences while supporting the growth of our wellness practice. Responsibilities Welcome clients with professionalism and warmth. Check clients in and out for appointments. Schedule appointments, consultations, and follow-up visits. Explain wellness services, memberships, and treatment packages. Educate clients on available technologies including
HBOT, HOCATT, EBOO, IV
Therapy, peptides, metabolic testing, and body composition analysis. Answer phones, emails, text messages, and online inquiries promptly. Confirm appointments and manage cancellations and waitlists. Process payments and maintain accurate daily financial records. Maintain patient records while ensuring HIPAA compliance. Coordinate provider schedules and treatment rooms. Assist with retail product sales and inventory management. Help achieve monthly sales and membership goals. Support wellness events, workshops, and community outreach. Keep the reception area clean, organized, and welcoming. Collaborate with providers and clinical staff to deliver an outstanding patient experience. Qualifications Minimum 2 years of customer service, front desk, hospitality, medical office, med spa, or wellness clinic experience preferred. Excellent communication and interpersonal skills. Strong computer skills and ability to learn scheduling software. Comfortable discussing wellness services and recommending appropriate packages. Sales experience is highly preferred. Exceptional organizational and multitasking abilities. Positive attitude with attention to detail. Professional appearance and dependable work ethic. Bilingual English/Polish is a plus. Preferred Experience Medical spa, chiropractic, wellness, functional medicine, or aesthetic clinic. Appointment scheduling and patient coordination. Membership or package sales.
