Job Brief The Clinic Operations Coordinator is the operational heartbeat of Bloom, responsible for anticipating the needs of the clinic and creating a warm, welcoming first impression for our patients and their families. The person in this role manages the front-of-house space, supports a busy office of psychologists, and ensures our physical office remains a comforting, professional environment. While strong administrative skills are required, this is a highly client-facing role that requires critical thinking, proactive problem-solving, and clinical support. You will serve as the bridge between the waiting room and the therapy office, working collaboratively with our off-site administrative staff to ensure seamless daily operations and clinical readiness.
Job Responsibilities Patient Experience:
Welcome patients and their families to the office, demonstrating our core practice values of inclusivity, respect, kindness, and relational excellence during vulnerable moments.
Clinical & Administrative Support:
Proactively prepare sensitive clinical documentation, forms, and patient files for the clinical team, ensuring our psychologists have exactly what they need before each session begins.
Front Desk Triage:
Answer the practice phone, providing a warm first point of contact. Use critical thinking to triage general questions and seamlessly direct specific clinical, billing, or scheduling inquiries to the appropriate specialized team member.
Office Environment:
Take ownership of the physical office space to ensure the waiting room and facilities are kept clean, clutter-free, welcoming, and professional in appearance at all times.
Communication:
Respond promptly to general patient messages and coordinate daily communication with the broader Bloom administrative team to ensure smooth operations.
Equipment & Operations:
Maintain and troubleshoot day-to-day office equipment, including scanners, fax machines, printers, and telephones.
Privacy & Compliance:
Exhibit high-level professionalism and strict confidentiality at all times, adhering to patient privacy rules outlined in the Health Insurance Portability and Accountability Act (HIPAA). Requirements +
