About Us HopePoint Therapy Group, LLC, is a mental health therapy practice serving children, teens, and adults. We want every client to feel welcome from the moment they call or walk in. The Role Our Office Coordinator keeps the practice running smoothly day to day. You'll set the tone for the client experience and you'll support our clinicians by handling scheduling, intake, payments, and basic insurance processes. This is a hands-on coordination role focused on workflow and client care. What You'll Do Greet clients and families and manage the check-in process Answer phones and emails, return calls, and guide new clients through intake Schedule intake appointments and manage clinician calendars Collect copays and private pay fees and log every payment accurately Coordinate with our billing company and explain insurance coverage basics to clients Enter and track incoming and outgoing referrals Support our electronic health record with data entry and general office tasks Participate in team meetings and trainings Protect client privacy and follow all HIPAA requirements What We're Looking For A warm, calm, and patient presence with children, teens and adult clients Strong organization, attention to detail, and the ability to juggle priorities Clear, professional written and verbal communication Comfort with computers, Microsoft Word and Outlook, and office equipment Willingness to learn our records system and insurance processes (we'll train you) Front desk experience in a healthcare, therapy, or school setting
