Ensure the safe, productive, and efficient operation of the clinic assigned through timely and attentive administrative and clinical support (as authorized or licensed). Ensure all patients enjoy a positive experience, treated with the care and compassion expected. Ensure all patient records and related documents are managed and maintained timely, accurately, and consistent with all HIPAA and related regulations and requirements. Ensure all tasks provided and associated with patient care, patient administrative processes, and related duties complies with all regulatory and accreditation standards, as well as clinic policies and procedures. Develop favorable relationships with all patients. Instruct patients and their family members training and /or information related to in-home care as appropriate. Establish favorable working relationships with all staff members associated with center operations, including Patient Services Reps (PSR), nurses, physicians and related staff. Stewardship and Professionalism Uphold and consistently represent the values and mission of the organization at all times. Represent the organization in a highly professional manner at all times. Ensure compliance and attention to all corporate policies and procedures.
Specific Duties and Responsibilities:
Provides onsite leadership to the staff in problem solving and quality improvement activities that will contribute to efficient work processes. Monitors patient scheduling processes for efficiency and availability of appointments for all patients. Monitors the management of the patient record which includes timely filing of reports and availability to the provider. Reports include lab, radiology, other diagnostic testing and physician consultation reports. Manages clinic inventory, and timely ordering of clinical and office supplies. Responsible for the day to day management of the Patient flow through the clinic's operations so as to reduce excessive wait times. Reviews quality monitoring reports and makes suggestions for improvement in documentation and coordination of care according to clinical protocols and disease management. Performs random quality checks on patient records identifying areas for improvement and communicating this appropriately. Works closely with the Clinical Provider staff serving as the onsite leadership/managerial resource. Monitors the office practice management functions: EMR functions, patient scheduling, medical records, collaborating with the senior leadership team as the system level. Evaluates the clinic's daily operations making recommendations for improvements to the Director of Clinical Services. Collaborates with the management staff within the other clinics and programs part of INCHC, Inc. Communicates effectively with HR on issues related to human resource functions. Counsels employees who are not meeting expectations in job performance. Utilizes clinic resources efficiently and effectively. Possess a sense of discipline to work in accordance with accepted office standards. Develops a performance level whereby minimal supervision is needed and seeks assistance when issues arise beyond current knowledge or experience. Attends clinic meetings and staff meetings and participates actively in problem- solving, staff meeting discussions and in-services. Communicates clearly and effectively with patients, visitors and team members and adheres to the customer service standards outlined by the Clinic. Respects the confidentiality of patient information and clinic business and supports the clinic mission and patient rights and responsibilities. Performs job responsibilities in accordance with all clinic policies and procedures. Participates in education opportunities as appropriate which will increase one's ability to perform the specific job responsibilities and provide leadership to staff. Keeps current on and adheres to all policies and procedures as enumerated in the Policy & Procedure Manual. Implement standards of Patient-Centered Medical Home through team-based care, managing patient populations, and supporting patients and families in self-management, self-efficacy, and behavior changes as needed. Support staff by acknowledging their role(s) in everyday operations to make the Medical Home sustainable. Participate in performance improvement activities as evidenced by the development of measures, collection of data, and participation in Quality Meetings. Participate in medical team and agency activities related to client service, care coordination, and advocacy for the patient populations. Participate in a structured communication process that is focused on individual patient care: discuss upcoming appointments, patient needs and workflow updates Assist patients with navigating the health care system. Promote the concept of Patient Centered Medical Home to staff and patients. Performs other duties as assigned, including, but not limited to, Quality Controls and VFC Management
REQUIREMENTS
High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration, business administration, public health, or a related field preferred. Working knowledge of patient scheduling, registration, medical records, referrals, insurance verification, and general clinic workflows. Understanding of patient confidentiality and healthcare compliance requirements, including HIPAA. Familiarity with OSHA, HRSA, and FQHC requirements is preferred. Ability to work effectively with clinical providers, support staff, patients, and community partners.
