Job Description

Patient Care Coordinator / Medical Assistant (Part-Time) $28-$30/hour | Approximately 25 hours/week Small, Physician-Led Hormone Practice Newton Integrative Health is a busy one-doctor medical practice focused on hormone balancing and functional medicine. We are seeking a smart, detail-oriented, and caring Patient Care Coordinator to become an important part of our three-person team. This is a varied administrative role that combines care coordination, reception, medical data entry, a little bit of detective work, and a lot of communication with patients. Because we're a small practice, we need someone who takes ownership, organizes their own work, and thrives with independence. The Role Your primary goal is to ensure our physician has the accurate information she needs to provide efficient, well-informed care. She'll depend on you to keep her on schedule, keep medical records up to date, and research patient requests so that she can respond quickly and effectively. You'll also learn to resolve an increasing range of patient questions on your own, using established processes and guidelines. For our patients, you will provide responsive, thoughtful support. They'll come to see you as a trusted liaison to their care as you help them with testing, medications, appointments, and questions. This role requires both accuracy and judgment . Some tasks are repetitive and require sustained concentration; others require you to investigate a situation, figure out what is needed, and determine the appropriate next step. Your Responsibilities Medical Data and Records Our practice relies heavily on laboratory testing, which generates several dozen lab reports daily, each with multiple results. You'll manage this patient data, entering it into our system and routing reports based on criteria we'll teach you. Our doctor relies on this information when making decisions about patients' medications, so accuracy is essential. You'll need to be comfortable handling detailed medical data in large volumes and double-checking your own work. Reception and Appointment Support You will provide front-desk coverage beginning at 8:30am, typically Monday—Wednesday or Monday—Thursday depending on how we agree to structure the schedule.
Responsibilities include:
  • Greet patients and ensure they are ready for in-office and telehealth appointments
  • Check payment status and collect payment as necessary
  • Help keep the physician on schedule
  • Review phone messages and answer incoming calls
  • Resolve some questions independently and route others using criteria we'll teach you
  • Handle occasional scheduling of patient appointments We are a private-pay practice and do not do insurance billing.
Patient Care Coordination You will help patients navigate our practice and make them feel valued and supported.
This includes:
  • Communicate with pharmacies, outside laboratories, and other medical offices as needed
  • Generate and send electronic lab slips based on the doctor's orders
  • Enter lab order details at Quest Diagnostics for patients who use them
  • Respond to patient questions and requests over the phone and through our portal Office Management
  • Coordinate with pharmaceutical reps to keep sample supplies stocked
  • Help keep the office presentable, organized, and running smoothly
  • Pitch in wherever needed and be a positive and flexible presence on our small team Who We're Looking For You may be an excellent fit for this position if you:
  • Are familiar with how medical practices operate
  • Have experience working with electronic medical records
  • Understand lab testing terminology and how lab orders and test reports work
  • Are consistently accurate when handling large volumes of medical data
  • Can pause to help a patient or answer a question without losing track of your task
  • Thrive working independently and taking ownership of tasks
  • Are able to learn new processes and concepts quickly
  • Communicate professionally and warmly
  • Genuinely enjoy helping people - both patients and coworkers We're also especially interested in someone who is a clever detective - someone who enjoys piecing together new information, past communications, patient records, and other "clues" to understand the full context of a request and figure out what should happen next.
5 Reasons to Join Us 1. Make a direct difference. You'll play an important role in a small, personalized medical practice where your work has a direct impact on patients and the quality of care they receive. 2. Have real responsibility and autonomy. You'll work closely with the physician and become someone she can rely on. As you learn how our practice works, you'll have increasing ownership of your responsibilities rather than needing to be told what to do at every step. 3. Do meaningful work. Our practice provides specialized care that can be difficult for patients to find elsewhere. You'll help patients navigate their care and support the physician in helping them improve and maintain their quality of life. 4. Enjoy variety and problem-solving. The role combines core tasks that you can master through repeated experience with new situations that require investigation, judgment, and problem-solving. You'll interact with many different people throughout the day, and no two days will be exactly alike. 5. Work with a small, friendly team. We enjoy the work we do, take pride in our practice, and try to have some fun along the way. Schedule and Compensation This is a part-time position that can be structured in either of two ways: Three full days per week , typically Monday—Wednesday Four shorter days per week , Monday-Thursday The workday begins at 8:30 a.m. and includes a half-hour unpaid lunch break around noon.
