Patient Service Coordinator - Concierge Internal Medicine Exceptional Health is an upscale concierge internal medicine practice located in Wellesley, Massachusetts , providing highly personalized primary care in a private, patient-centered setting. Unlike a traditional primary care office, our concierge model is built around exceptional service, individualized attention, accessibility, and a seamless patient experience. Our patients have close relationships with their physicians and care teams, and we pride ourselves on providing a level of service that is attentive, responsive, discreet, and highly professional. We are seeking an experienced, full-time Patient Service Coordinator to join our team. This is an important patient-facing position for an individual who understands that exceptional patient care extends well beyond scheduling an appointment or answering a telephone call. The ideal candidate is polished, highly organized, detail-oriented, proactive, and genuinely enjoys helping people. They should be comfortable anticipating the needs of both physicians and patients, managing multiple priorities simultaneously, and taking ownership of patient requests from beginning to end. Because we operate in a concierge environment, we are looking for someone who takes pride in providing a high-touch, hospitality-oriented patient experience and understands the importance of professionalism, discretion, responsiveness, and attention to detail. Essential Functions Serve as a welcoming and professional point of contact for patients, providing the high level of personalized service expected within a concierge medical practice. Answer telephone calls promptly and professionally, accurately documenting and directing information as appropriate. Schedule, coordinate, and confirm patient appointments. Greet patients upon arrival and ensure a welcoming, efficient, and personalized experience throughout their visit. Verify insurance eligibility and prepare patient information for daily appointments. Collect applicable copayments at the time of service. Support physicians and clinical staff by facilitating and coordinating physician orders. Schedule and arrange diagnostic testing, imaging, procedures, and specialty consultations on behalf of patients. Assist patients in navigating outside appointments and healthcare services, helping to make the process as seamless as possible. Assist clinical staff with tracking and following up on test results and outstanding patient-care items. Communicate information and results to patients and providers clearly, accurately, and professionally. Proactively follow through on patient requests and ensure outstanding items are brought to completion. Maintain a high level of organization and time management while managing multiple priorities and projects simultaneously. Anticipate the needs of physicians, patients, and fellow team members rather than waiting to be directed. Apply established routines, procedures, and practice standards consistently. Maintain the highest standards of patient confidentiality, discretion, and professionalism. Required Experience, Abilities & Competencies Some undergraduate education required. 4+ years of administrative experience in a medical practice or comparable healthcare setting. Previous experience as a Patient Service Coordinator, Medical Secretary, Patient Coordinator, or similar healthcare administrative position strongly preferred. General knowledge of the terminology, procedures, workflows, and administrative requirements of an internal medicine or primary care practice. A strong commitment to exceptional patient service and patient satisfaction . Excellent verbal and written communication skills. Exceptional attention to detail and organizational skills. Ability to communicate with patients in a polished, warm, professional, and reassuring manner. Ability to establish and maintain effective working relationships with physicians, coworkers, patients, specialists, and outside healthcare organizations. Comfortable working both independently and collaboratively as part of a close-knit care team. Strong computer skills, including web-based applications, Microsoft Office, and Electronic Health Records. Epic experience strongly preferred. Ability to maintain strict patient confidentiality and comply with HIPAA requirements. Demonstrated initiative, professionalism, sound judgment, and accountability. Strong investigative and problem-solving skills, including the ability to independently follow through on complex patient requests. Ability to anticipate needs and take ownership of responsibilities without requiring constant direction. Ability to remain composed, professional, and highly organized in a fast-paced environment. Strong work ethic and a genuine desire to deliver consistently excellent work.
