Position Summary The After School Program Coordinator is responsible for the daily operation, supervision, and management of the school's after school programming. The Coordinator ensures a safe, structured, engaging, and supportive environment for all students while overseeing program staff, maintaining compliance with safety and staffing requirements, and serving as the primary point of contact for families and school personnel. The Coordinator plays a key role in supporting students' behavioral, social-emotional, and medical needs while fostering a positive program culture. Essential Duties and ResponsibilitiesProgram Preparation and School-Day Coordination (2:00 PM - 3:30 PM) Prepare materials, attendance records, and program spaces for daily operation. Coordinate student enrollment, registration updates, and program organization. Assist with after school coverage needs as assigned, including substitute coverage and student supervision. Communicate with teachers, counselors, nurses, administrators, and other school personnel regarding student needs and program updates. Review student attendance changes, dismissal plans, and family communications. Ensure all supplies, equipment, and activity spaces are prepared and ready for student arrival. Address any student concerns, medical alerts, or behavioral plans prior to program start. Program Operations and Supervision (3:30 PM - 5:30 PM) Oversee daily transition from school-day activities and clubs into the after school program. Supervise students and staff throughout all program activities. Monitor and maintain required staff-to-student ratios at all times. Ensure the safety and security of students, staff, and facilities. Provide direct support to students experiencing academic, behavioral, social-emotional, or medical challenges. Implement behavior management strategies and restorative practices to support positive student behavior. Respond to behavioral incidents, conflicts, and crises using appropriate intervention techniques. Collaborate with after school staff to address student concerns and develop effective support strategies. Maintain accurate daily attendance records using Brightwheel and ensure all students are accounted for throughout the program. Conduct regular walkthroughs of program spaces to ensure quality programming and supervision. Support student engagement by building positive relationships and encouraging participation in activities. Ensure after school staff are actively supervising and engaging students at all times. Staff Leadership and Supervision Provide daily guidance, coaching, and support to program staff. Communicate program expectations, procedures, and safety protocols. Monitor staff performance and adherence to program policies. Address concerns regarding staff performance, professionalism, or supervision practices. Conduct difficult conversations with staff when expectations are not being met and communicate concerns to administration as necessary. Assist with onboarding and training of new staff. Facilitate team communication and problem-solving throughout the program day. Model professionalism, positive behavior management, and effective student engagement strategies. Family Communication and Student Support Serve as a primary point of contact for families regarding attendance, behavior, student needs, and program updates. Communicate concerns, successes, and important information to families in a timely manner. Collaborate with families to support student success within the program. Maintain confidentiality regarding student and family information. Support implementation of student accommodations, behavior plans, safety plans, and medical plans as applicable. Program Closing Procedures (5:30 PM - 6:00 PM) Ensure all students are signed out and picked up by authorized individuals. Communicate with families regarding late pickups when necessary. Complete attendance verification and end-of-day documentation. Ensure program spaces are cleaned, organized, and restored for the next school day. Secure supplies, equipment, and program materials. Conduct final building and safety checks as assigned. Ensure all staff complete closing responsibilities before dismissal. Additional Responsibilities Maintain compliance with district policies, state regulations, and program requirements. Complete incident reports and required documentation. Participate in staff meetings, professional development, and required trainings. Assist with program planning, scheduling, enrollment management, and special events. Collect and analyze program data to support continuous improvement. Support emergency preparedness procedures and drills. Perform other duties as assigned to support the successful operation of the after school program. Qualifications Bachelor's degree, Master degree preferred in Education, Social Work, Psychology, Human Services, Recreation, or related field. Experience working with elementary-aged students required. Experience supervising staff and managing programs preferred. Knowledge of behavior management, crisis intervention, and social-emotional learning practices. Strong communication, organization, and leadership skills. Ability to build positive relationships with students, families, and staff. CPR/First Aid certification preferred or willingness to obtain certification. Physical Requirements Ability to actively supervise students in indoor and outdoor settings. Ability to move throughout the building and grounds as needed. Ability to respond quickly to emergencies and student safety concerns.
