About the Position Ellicott City Aesthetics is seeking an experienced Medical Spa Coordinator with a strong background in aesthetics and luxury patient care. This is not a standard medical office front desk role. We are looking for someone who understands the flow of a busy cash-based med spa environment, aesthetic consultations, treatment coordination, skincare sales, memberships, and high-end client experience. This position requires prior experience in a medical spa or aesthetics practice and a strong working knowledge of Aesthetic Record software. Responsibilities Manage front desk operations for a busy cash-based aesthetic practice Provide exceptional concierge-style patient experience Schedule and coordinate aesthetic consultations and treatments using Aesthetic Record Manage patient charts, intake forms, memberships, treatment plans, recalls, and payment processing within Aesthetic Record Answer phones, texts, social media inquiries, and lead follow-ups Convert inquiries into booked consultations and treatments Educate patients on services, skincare, memberships, and treatment recommendations Coordinate provider schedules efficiently Process payments, memberships, financing, and retail sales Maintain strong patient retention and rebooking systems Assist with social media coordination, before/after photos, and marketing support Support daily operations to maintain a polished luxury environment Qualifications
REQUIRED
Minimum 2 years of experience in a medical spa or aesthetics practice
REQUIRED
Experience using Aesthetic Record software Strong understanding of aesthetic services and skincare products Experience with Botox, fillers, facials, laser treatments, RF microneedling, and skincare consultations preferred Strong sales and patient conversion skills Excellent communication and multitasking abilities Professional appearance and polished demeanor Comfortable working in a fast-paced, sales-driven environment Strong organizational and follow-up skills Ideal Candidate We are looking for someone who understands the med spa industry — someone who can confidently manage patient experience, scheduling flow, retail sales, memberships, and front desk operations without constant oversight. The right candidate understands luxury service, patient retention, and how to keep a high-performing aesthetic practice running efficiently.
Pay:
$21.00 - $25.00 per hour
