Rather than operating as a traditional surgical practice focused primarily on performing procedures, we are developing a comprehensive destination for obesity treatment and transformation, bringing together medical weight management, advanced endoscopic treatments, metabolic and bariatric surgery, long-term support, and aesthetic transformation within a single patient journey. At the center of our next phase of growth is Transform One , our signature surgical offering-a differentiated approach developed within our practice. We believe Transform One has the potential to become a defining part of our organization. Now we need to grow the operational infrastructure around it. We are looking for an exceptional Practice Administrator who wants to help us do exactly that. This person will work directly with the physician/founder to help develop and manage the machinery required to take a unique clinical offering and turn it into a highly organized, scalable patient program. That means building systems. Coordinating patients. Managing surgical logistics. Keeping authorizations moving. Making sure revenue gets captured. Supporting a growing team. Identifying bottlenecks. Solving problems. And continually improving the infrastructure as patient volume grows. This is not a position for someone who simply wants to inherit an established medical office and keep it running. We want an operator and builder who is energized by growth, comfortable creating structure where structure does not yet exist, and willing to roll up their sleeves when something needs to get done. What You'll Help Build and Own Transform One Program Infrastructure Help build the administrative and operational systems supporting our signature Transform One program Create reliable workflows that move patients from acceptance through preparation, procedure, and follow-up Coordinate across the physician, clinical team, patient-facing team, hospitals, surgical facilities, vendors, and outside partners Identify operational bottlenecks as volume grows and develop solutions Help create scalable systems that allow the program to grow without sacrificing the patient experience Surgical Coordination Coordinate insurance and self-pay surgical cases from scheduling through completion Post procedures with hospitals and ambulatory surgery centers Initiate and track prior authorizations Ensure charts, clearances, documentation, supplies, and equipment are ready Coordinate logistics for local, out-of-state, and international patients Follow each case through completion and into the appropriate billing process Revenue Cycle & Financial Follow-Through Ensure professional and hospital charges move into the billing process Track rejected, unpaid, or unresolved claims through resolution Follow up on outstanding insurance payments and balances Assist with appropriate payment arrangements for uninsured and self-pay hospital patients Identify revenue-cycle problems before they become lost revenue Payroll, Vendors & Administrative Infrastructure Prepare and submit payroll and calculate approved employee bonuses Maintain routine employee administrative records Manage day-to-day vendor relationships and accounts payable Organize financial information for our accountant Maintain office and clinical supplies Resolve routine vendor and operational problems Support a Growing Team Build systems that allow our clinical and patient-facing teams to work efficiently Keep deadlines, cases, payments, and open tasks visible and organized Take ownership of operational problems and drive them toward resolution Help improve processes as new services and programs are introduced Escalate issues requiring physician decisions quickly Who Will Thrive Here You may be a strong fit if you: Want to build an organization , not simply maintain one Get excited about helping take a new healthcare offering from launch to scale Take ownership rather than waiting to be told what to do next Are exceptionally organized and detail-oriented Hate leaving open loops Enjoy supporting a team during periods of rapid growth and change Are comfortable working directly with a surgeon/founder Are willing to get your hands dirty when something needs to get done See problems as things to solve rather than reasons work cannot move forward Want your work to have a visible impact on the company you are helping build Experience in medical practice administration, surgical scheduling, prior authorization, revenue cycle, medical billing, or healthcare operations is strongly preferred. Experience coordinating surgical cases with hospitals or ambulatory surgery centers is particularly valuable. This Is an Operator Role This is not primarily a people-management position, and it is not a traditional office-manager job. You will work directly with the physician/founder and support a growing team by making sure the systems behind them actually work.
