Overview We are looking for an upbeat, enthusiastic Medical Receptionist/Patient Coordinator to join our team. You will be the first point of contact in our office for patients and visitors, so your customer-service skills will be on full display. In this role, you will carry out front desk operations, coordinate appointments, ensure seamless communication between patients and medical staff, check patients in and out, and serve as a knowledgable resource to patients over the phone and in-person. The best candidates will have experience in an administrative or customer-facing role, be technologically savvy, and have a genuine interest in Medical Aesthetics. Schedule Monday - Thursday; one late night on Wednesdays ending at 7:30 PM. Duties Greet patients and assist with patient intake processes Schedule appointments accurately using medical scheduling software Manage multi-line phone systems with professional phone etiquette, directing calls and taking detailed messages Maintain and update patient billing records within EHR systems Review documentation for accuracy, ensuring treatment charts mirror billing, and all protocols are followed Handle billing and collect payment efficiently while adhering to office policies and procedures Assist with filing, data entry, and general clerical tasks to support clinic operations and office management
Required Qualifications:
Comfortable discussing treatment totals and payment with patients in person and over the phone Exceptional customer service skills combined with professional phone etiquette and effective communication abilities Ability to handle sensitive information in accordance with HIPAA guidelines and maintain confidentiality at all times Strong organizational skills with attention to detail for documentation review and medical records management
Preferred Qualifications:
