We are seeking a highly organized, dependable, and detail oriented Administrative Assistant to support our healthcare team with front desk operations, insurance eligibility, scheduling, patient coordination, and authorization-related tasks. The ideal candidate should have excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities in a fast-paced clinical environment. Key Responsibilities
- Manage front desk and administrative duties, including assisting patients and answering calls and inquiries.
- Schedule and coordinate clinic, telehealth, pre-op, post-op, and procedure appointments according to provider and department guidelines.
- Verify patient insurance eligibility and benefits prior to appointments and ensure insurance information is accurate and up to date.
- Assist with insurance authorizations, referrals, and follow-up on pending authorization requests.
- Coordinate with insurance, authorization, billing, clinical, and scheduling teams to resolve patient account or coverage issues.
- Review patient information and ensure required documentation, insurance cards, referrals, and authorizations are available before appointments.
- Communicate with patients regarding appointments, scheduling requirements, and any necessary information or documentation.
- Monitor schedules to help prevent unnecessary overbooking and ensure appointment capacity is managed appropriately.
- Coordinate with providers, nurses, patient coordinators, and other departments to ensure smooth patient flow.
- Follow up on cancellations, rescheduling, outstanding authorizations, and other scheduling needs.
- Maintain accurate patient records and document all necessary communication and scheduling updates.
- Identify scheduling or insurance issues and escalate them to the appropriate department when needed.
- Provide excellent customer service and maintain professional and respectful interaction with patients and staff.
- Assist with other administrative duties and special projects as needed. Qualifications
- Previous experience in a medical office, healthcare administration, scheduling, insurance verification, or patient coordination preferred.
- Knowledge of insurance eligibility, benefits, referrals, and prior authorization processes is a plus.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize responsibilities in a busy clinical environment.

Position Goal The goal of this position is to provide strong administrative support while ensuring that patients are properly scheduled, insurance is verified, required authorizations are obtained, and communication between patients and the clinical team is handled efficiently and accurately.
Pay:
$20.00 - $23.00 per hour Expected hours: 20.0 per week
