TREATMENT COORDINATOR / PATIENT COORDINATOR
Colby-Mueller Orthodontics | Baxter, MN (primary) with satellite locations Full-Time | Competitive Pay + Performance Bonus About Us Colby-Mueller Orthodontics is a busy, multi-location orthodontic practice serving northern Minnesota from our primary office in Baxter, with satellite locations in Staples, Aitkin, and Pequot Lakes. We run 75-90 patients per day in a structured, professional clinical environment. We are growing — and we are building the team to match. The Opportunity We are hiring a full-time Treatment Coordinator / Patient Coordinator to own the new patient experience from first phone call through case acceptance — and to serve as the primary relationship manager for prospective and active patients. What You Will Own Answering and converting inbound new patient calls — you are the first voice families hear Scheduling consultations and managing the full confirmation and no-show recovery process Greeting new patients at their consultation and managing the welcome experience Presenting treatment recommendations and financial options to families after the doctor consult Tracking and following up on pending cases with professionalism and persistence Logging every new patient contact and referral source — you generate the data that drives our growth decisions Supporting referral relationships with referring dental offices What We Are Looking For Excellent interpersonal communication — you are comfortable, warm, and clear on the phone and in person Organized and detail-oriented — you follow up, you log it, you close the loop Comfortable presenting financial information without pressure or apology Able to work independently without constant direction — this role requires ownership, not oversight Experience in a dental, orthodontic, or healthcare patient-facing role is a plus but not required Sales or customer relationship experience in any industry is valued Compensation Competitive hourly base pay based on experience, plus a quarterly performance bonus tied to defined conversion metrics.
