Job Description
Job Summary Headwaters Dental Studio is looking for a warm, dependable and highly organized Patient Experience Coordinator to join our administrative team. This position is much more than answering phones and scheduling appointments. You will often be the first and last person our patients interact with, helping create a welcoming, organized and genuinely positive experience from their initial phone call through checkout. The ideal candidate enjoys working with people, communicates confidently, remains composed when the front desk gets busy and takes pride in helping patients and teammates. Previous dental experience is helpful but not required. We are prepared to provide comprehensive on-the-job training to the right person and welcome applicants with experience in hospitality, healthcare, human resources, banking, insurance, customer service, retail leadership, military administration and other people-focused professions. Primary Responsibilities Greet patients warmly and create a positive first impression Check patients in and out accurately and efficiently Answer calls, text messages, emails and voicemails promptly and professionally Schedule appointments using Eaglesoft and help maintain an organized, productive schedule Confirm appointments and proactively help fill cancellations and openings Assist patients with registration forms and maintain accurate patient information Verify dental insurance eligibility and benefits Help patients understand treatment estimates, financial arrangements and insurance limitations Collect patient payments and accurately document account activity Coordinate follow-up appointments and clearly communicate patients' next steps Assist with insurance claims, attachments and outstanding-claim follow-up Maintain accurate patient records and detailed account notes Communicate effectively with dentists, hygienists, assistants and administrative team members Provide warm, organized handoffs between the clinical and administrative teams Help resolve patient questions and concerns with empathy, professionalism and good judgment Protect patient confidentiality and follow HIPAA requirements Maintain a clean, organized and welcoming reception area Complete assigned follow-up lists and administrative responsibilities reliably Support other front-office and patient-experience responsibilities as needed What We're Looking For Excellent verbal and written communication skills A friendly, professional and confident presence Strong customer-service instincts and a genuine enjoyment of helping people Dependability, punctuality and consistent follow-through Strong attention to detail and organizational skills Ability to prioritize several responsibilities in a busy environment Comfort discussing treatment costs and collecting payments Ability to remain calm and helpful during difficult conversations Confidence using computers and learning new technology Willingness to receive feedback, learn new systems and grow professionally A team-first attitude and willingness to help wherever needed Ability to handle confidential information appropriately Previous dental or medical front-office experience is valuable but not required. Experience with Eaglesoft, Weave, dental insurance, treatment coordination, patient scheduling or similar systems is a plus. What We Offer This is a full-time, Monday-Thursday position with a consistent four-day workweek and no regularly scheduled Fridays or weekends. Compensation ranges from $20.00-$26.50 per hour , based on relevant experience and demonstrated capability.
