Job Description
Revive Periodontics is a specialty dental clinic, providing advanced dental procedures for the southern Minnesota region. We are looking for a high performing Patient Experience Coordinator(Concierge) that is excited to join a team that is fast paced and growing. It is vital that this role embodies our core values—Team First, Respect, and Always YES — while providing exceptional service to our patients. The Patient Experience Coordinator (Concierge) is the first voice and face every patient encounters, in person and on the phone. This role owns the front-of-house experience from greeting through checkout, keeps the schedule full and accurate, routes calls to the right team member, and steps in on payments when the team needs an extra set of hands. Success in this role looks like a full schedule, short wait times, patients who feel taken care of the moment they walk in, and a front desk that never drops the ball when the day changes on short notice. Key Responsibilities Patient Greeting & Check-In Warmly greet every patient by name upon arrival; set the tone for the visit Verify and update patient demographic, insurance, and consent information at check-in Confirm same-day paperwork is complete before the patient is seated Phones & Call Routing Answer incoming calls promptly and professionally Triage and direct calls to the correct team member (clinical, billing, scheduling, doctor) the first time, minimizing transfers and callbacks Take clear, accurate messages when the right person isn't available Scheduling & Schedule Management Schedule, reschedule, and confirm patient appointments across provider calendars Proactively monitor the schedule for openings, cancellations, and no-shows, and work the waitlist/recall list to fill gaps in real time — this is not a passive, wait-for-it-to-happen part of the job Identify and correct scheduling errors (double-bookings, wrong provider/procedure length, missing pre-op requirements) before they become day-of problems Communicate and adjust quickly when day-of surgery changes occur — notifying affected patients, clinical staff, and the schedule itself without letting anything fall through the cracks Checkout & Payments Step in to check patients out and collect payment when other team members are occupied Collect balances due, and explain patient financial responsibility at a basic level Hand off complex billing/insurance questions to the Business Manager and/or Treatment Coordinators with full context General Maintain a clean, organized, and welcoming front office Uphold HIPAA and patient confidentiality standards in all interactions Flag recurring issues (scheduling patterns, call volume problems, recurring errors) to the Office Manager Qualifications Required 1+ years in a front desk, patient coordinator, or customer-facing healthcare/dental role Strong multitasking ability — comfortable moving between phones, check-in, and checkout without losing track of any of them Clear, professional verbal and written communication Basic comfort with payment processing Preferred Experience with dental practice management software (Open Dental, Weave) Familiarity with dental insurance basics (verification, benefits, patient responsibility) Prior experience in a specialty practice (periodontics, oral surgery, or similar) Key Performance Indicators Schedule utilization rate Recall/reactivation conversion rate Call answer rate How you will be supported: 2 week onboarding intensive including technology tutorials and webinars Continued coaching from front-office staff and clinical operations manager Virtual assistants to assist with administrative tasks
