Tomasheski Family Dentistry is a family-owned practice focused on providing high quality dental care and building meaningful relationships with our patients in Apex and surrounding communities. We're looking for someone who is positive, friendly, dependable, and enjoys helping patients feel comfortable and cared for. We are seeking an experienced Dental Patient Care and Insurance Coordinator to join our team. Your Role as a
Patient Care Coordinator:
Patient Care:
  • Greet patients by name with a warm and welcoming smile.
  • Serve as the face of the practice, handling phone calls, emails, and messages with enthusiasm and professionalism.
  • Efficiently check in/out patients, present treatment plans, explain insurance coverage, and review patient financial responsibility.
  • Maintain a tidy front desk space and patient waiting area.
Insurance and Financial Coordination:
  • Verify patient insurance eligibility and benefits.
  • Submit pre-authorizations and insurance claims, ensuring proper narratives and attachments are included.
  • Handle insurance denials and resolve issues with outstanding claims.
  • Process patient payments.
  • Regularly review accounts receivable reports and follow up on outstanding balances.
  • Generate and send billing statements to patients with balances.
  • Assist patients with financial arrangements and payment plans.
Administrative Excellence:
  • Manage the schedules of one doctor and two hygienist columns daily: schedule effectively, confirm appointments, and follow up with missed and unscheduled appointments.
  • Proactively fill appointment openings.
  • Handle patient record transfers and coordinate care for patients being referred to or from our practice.
  • Ensure HIPAA compliance at all times.
  • Other front desk tasks as needed.
Team Collaboration:
  • Work closely and communicate with the dentist and clinical team to ensure a smooth patient experience.
  • Assist in other areas of the practice as needed.
  • Contribute to a positive, supportive work environment!
What We're Looking For in a
Patient Care Coordinator:
  • Minimum 2 years of experience in a dental office (front desk, insurance coordination, or similar).
  • Bonus points if you have dental assisting experience!
  • Team-oriented, energetic, upbeat, friendly, and highly motivated for excellence.
  • Strong communication skills to effectively interact with patients and team members.
  • Dependable, reliable, and eager to contribute to our goal of delivering amazing patient care!
