Job Description

About the Role We're looking for a detail-oriented and creative Hospitality Manager to plan, organize, and execute the logistics required to host world-class meetings, trainings, and events held in-person, online, and in a hybrid format. The ideal candidate thrives under deadlines, juggles multiple projects at once, and has a knack for turning logistical challenges into seamless experiences. The ideal candidate must have excellent written and verbal communication skills and a desire to work and personally grow in a fast-paced, rapidly changing environment. About Impact Foundation Impact Foundation serves charities, donors, and the larger community. Based in Fargo, North Dakota, it's designed to be a vehicle for charity leaders and teams to grow, innovate, and collaborate through ongoing coaching, training, and resource development. Its ultimate goal is to help individuals and organizations unleash their greatest potential to serve. Impact was formed in 2003 as a companion organization to Dakota Medical Foundation which saw a pressing need for charities to substantially grow their capabilities to impact health and quality of life. Impact also serves as a co-host and fundraising guide for Giving Hearts Day, one of the first and longest-running giving days in the United States. Since 2008, Giving Hearts Day has helped charities raise nearly $257 million to improve health and quality of life across North Dakota and northwest Minnesota. Key Responsibilities Plan, coordinate, and set up all aspects of internal events, including invitations, venue selection, vendor management, catering, AV setup, and on-site logistics (board and committee meetings, charity trainings, business events, internal team building activities, etc) Develop event timelines, budgets, and checklists, and ensure all milestones are met Source and negotiate contracts with vendors, venues, and suppliers Manage event invites, registration, RSVPs, and attendee communications - provide appropriate teammates regular updates as events approach Oversee DMF Campus experience for all guests Coordinate with internal teams to align events with program goals Oversee & assist with event setup, execution, and breakdown, ensuring smooth on-site operations Track event budgets and provide post-event financial reconciliation Collect feedback and analyze event success metrics to inform future planning Troubleshoot issues in real time and adapt plans as needed Assist in technology help for events held at
DMF Campus Qualifications:
Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or related field (or equivalent experience) 4+ years of experience in event planning or coordination Enthusiastically adhere to the principles of Unreasonable Hospitality by Will Guidara Strong organizational and project management skills Excellent written and verbal communication Ability to manage multiple projects simultaneously under tight deadlines Proficiency with event management software (e.g., TicketSpice, Eventbrite, Asana) and Microsoft Office Budget management experience Willingness to work occasional evenings/weekends and travel as needed for events Experience with hybrid or virtual event platforms (Zoom, Teams, Google, etc.) Background in corporate, nonprofit, or hospitality event planning Interested candidates should submit a resume and cover letter to Elise Rue at Erue@dakmed.org.
