Patient Care Coordinator (Part-Time) Thirteen Moons Acupuncture | Central Omaha, NE Starting at $18-20/hour, based on experience | Approximately 23 hours per week About Thirteen Moons For over 23 years, Thirteen Moons has been a trusted name in integrative medicine in Omaha. Our clinic sits on a picturesque central Omaha property featuring a charming old farmhouse and airy carriage house surrounded by trees and green space. Our two Licensed Acupuncturists and our team have earned the "Best of Omaha" award fourteen consecutive years (2013-2026), and we're proud of the healing community we've built. We believe every team member contributes directly to the growth and success of this clinic, and the Patient Care Coordinator is at the heart of it all. The Role We're looking for an experienced, compassionate, and highly organized Patient Care Coordinator to be the welcoming face of our clinic and keep our front office running smoothly. You'll be the first point of contact for every patient, including those going through sensitive health journeys such as fertility care. This role calls for warmth, discretion, and sound judgment, plus the confidence to handle situations on your own while our acupuncturists are in treatment.
Schedule Wednesday:
a short shift (1-3 hours) for administrative prep and our team meeting
Thursday-Saturday:
7-hour shifts, either opening (9am-4pm) or closing (12pm-7pm) Saturdays required: 7-hour shift, either opening (9am-5pm) Closed on all major holidays. What You'll Do Patient care Welcome patients and guide them comfortably through their visits Handle sensitive conversations and patient information with care and confidentiality Answer and return phone calls, emails, and texts promptly Book, manage, and reschedule appointments across a multi-room, multi-practitioner schedule Administration Manage our patient management system (Jane), including check-in, check-out, and billing Complete end-of-day reconciliation reports Manage inventory and vendor accounts for herbs, supplements, retail products, and office supplies Coordinate with outside providers as needed Keep the front desk, treatment rooms and common areas clean and organized Handle light clinic laundry Community Support patient retention and help share Traditional Chinese Medicine with the Omaha community Room to Grow For a candidate with proven marketing experience, this role can expand to up to 35 hours per week and take ownership of the clinic's marketing and growth. That includes social media strategy and content creation, email campaigns, community outreach and events, and patient retention. What We're Looking For Required At least 1 year of administrative experience Sound judgment and the ability to work independently and make decisions without constant oversight Rock-solid organization and the ability to manage multiple priorities without dropping the ball Strong verbal and written communication skills A calm, composed presence under pressure and emotional intelligence in sensitive conversations Discretion with confidential information Comfort with Apple computers and Google Drive, and the ability to learn new software quickly Respect and sensitivity for a diverse patient population at varying stages of pain and healing HIPAA training (or willingness to complete training after hire) Preferred Experience in a service-based business (healthcare experience not required) Experience with Jane or similar scheduling software Marketing and social media experience Physical Requirements Regularly climbing stairs throughout each shift, as our treatment rooms are spread across two stories and laundry is in the basement Ability to lift and carry up to 50 pounds occasionally (supply and product deliveries) Standing, walking, and moving between buildings for extended periods Why You'll Love It Here Complimentary treatments Employee discount A well-established, award-winning clinic with a positive, healing atmosphere Real room to grow for the right person To Apply Apply through Indeed ,or directly to our clinic, with your resume and a cover letter telling us why you'd be a great fit for Thirteen Moons.
