Patient Services CoordinatorJob Description The Patient Services Coordinator plays a key front desk role in a busy general surgery department, serving as the first point of contact for patients. This position focuses on welcoming and checking in patients, managing a high volume of phone calls, coordinating surgical and procedure scheduling, and ensuring accurate documentation in electronic health record systems. Responsibilities Welcome and check in patients upon arrival to the general surgery department and vascular lab. Provide patients with initial forms and ensure all required documentation is completed prior to their appointment. Answer and manage all incoming phone calls for the department, including those related to surgical scheduling and patient inquiries. Greet patients in a professional and friendly manner, ensuring a positive experience at the front desk. Scan and verify patient insurance cards to confirm coverage and acceptance for consultations. Collect copays from patients and handle payments accurately and securely. Enter and update patient information and insurance details in Athena, the electronic health record (EHR) system. Coordinate surgical scheduling, ensuring procedures are accurately booked and documented. Use the RIS imaging scheduling platform to schedule procedures and imaging appointments. Schedule procedures directly with hospitals, including managing paper-based scheduling processes as needed. Maintain a high level of attention to detail when handling patient records, insurance information, and scheduling data. Multitask effectively in a high-volume environment, balancing in-person patient needs with continuous phone traffic. Collaborate with clinical and administrative staff to support smooth patient flow through the general surgery department and vascular lab. Essential Skills Experience as a medical receptionist or in patient access within a high-volume medical setting. Professional surgical scheduling experience (minimum of 6 months). Hands-on experience with electronic medical records (EMR), specifically Athena. Experience using RIS or similar imaging scheduling platforms for procedure scheduling. Strong customer service skills with a friendly and professional demeanor. Ability to manage and prioritize a high volume of phone calls and patient interactions. Excellent attention to detail when handling patient information, insurance data, and scheduling tasks. Effective multitasking skills in a busy clinical environment. Additional Skills & Qualifications Prior experience in a general surgery or specialty clinic environment is beneficial. Familiarity with hospital scheduling processes, including paper-based scheduling methods. Strong verbal communication skills to interact clearly with patients, hospitals, and internal staff. Basic administrative and front desk skills, including handling payments and managing patient forms. Ability to remain calm and organized in a fast-paced, high-volume department. Work Environment This role is based in a high-traffic general surgery department that also houses a vascular lab, making it one of the busiest areas at the Berkeley Heights site. The position involves continuous interaction with patients and staff at the front desk, as well as handling all phone calls for the department. You will work extensively with Athena, the electronic health record system, and the RIS imaging scheduling platform, along with paper-based scheduling for hospital procedures. The schedule offers weekday shifts with flexibility, typically between 7:30 a.m. and 5:00 p.m. (such as 7:30-4:00, 8:00-4:30, or 8:30-5:00), Monday through Friday, with no weekend work. The environment is fast-paced and collaborative, requiring professionalism, reliability, and strong customer service in daily patient-facing interactions. Job Type & Location This is a Contract position based out of Berkeley Heights, NJ. Pay and Benefits The pay range for this position is $20.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
