Job Description

Overview We are seeking a friendly, organized, and proactive Patient Care Coordinator to be the first point of contact for our patients in our fast growing private, cash-based/OON, 1-on-1 performance-based physical therapy clinic. This role is critical in creating a seamless, high-quality experience while supporting our clinical team and keeping daily operations running smoothly. If you are detail-oriented, confident communicating with people, are a hard worker and eager to learn and grow with a growing business with a great culture, this role is for you. Key Responsibilities Patient Experience & Communication Greet patients warmly and professionally upon arrival Answer phones, text messages, and emails promptly and clearly Schedule, confirm, and manage appointments Educate patients on our services, pricing, and policies Have entry-level sales discussions/filed new inquiry calls and determine if they are a good fit to work with us Assist patients with forms, intake paperwork, and general questions Maintain a calm, welcoming atmosphere in the clinic Administrative & Office Support Manage patient records and documentation in our scheduling/EMR system Process payments, packages, and invoices accurately Track appointment attendance and follow-ups Support front-office workflows and daily operations Keep the front desk, waiting area, and office organized and presentable Communicate effectively with the clinical team to ensure smooth scheduling Clinic Support & Growth Assist with patient reactivation and follow-up outreach Help with basic marketing tasks (handouts, reminders, event sign-ups, newsletters, etc.) Identify opportunities to improve systems and patient flow Represent the Game Changer brand with professionalism and enthusiasm Qualifications Previous experience in a front desk, administrative, or customer-facing role preferred Strong communication and interpersonal skills Excellent organization and attention to detail Comfortable using computers, scheduling software, and basic office technology Ability to multitask and stay calm in a busy environment Reliable, punctual, and professional Sales experience is a bonus, but willing to train someone eager to learn Capable of receiving feedback and improving Experience in healthcare, fitness, or wellness is a plus but not required.
