Short Description Scheduling:
Efficiently schedules and coordinates meetings and conferences. Schedules patient transports and acts as a contact person for outside contracted transport companies. Tactfully and professionally interacts with multiple offices, staff, families, and patients. Requests various documentations and assures complete information reaches the required location(s) in a timely manner. Develops systems that are understandable and reproducible by other members of the team especially during absences and off hours.Telephones:
Answers telephone in a timely manner on a consistent basis, maintaining a professional and helpful manner with all callers. Records all messages, accurately and completely - including caller name, telephone number, time and date, and message/request. Reports to leaders with information. Documents all incoming calls completely and correctly. Returns calls in a timely manner. Checks voice email messages several times throughout the day thereby assuring same day response.Computer:
Organizes and maintains a filing system that includes correspondence, records, reports and other files. Sets up and maintains Teams, excel and word-processing files. Backs up all files using available technology. Develops databases as required. Experience in MS Word, Excel, and PowerPoint a must. Assisting all AVP and Director with data entry and daily functions including but not limited to the following: Tracking and reporting facility upkeep and concerns (exterminator/water/maintenance point of contact as needed), assisting with IT ticket entry, EARS report entry, maintaining display boards for the departments (Kudos, data, patient satisfaction), support for the leadership team ie. assistance with evaluation prep, meeting minutes when needed, tracking of staff must haves).Filing:
Organizes and maintains a filing system that includes correspondence, records, reports and other files.Other Duties:
Manages departmental ordering (Staples, Dietary, Linen, etc.); Sets and manages schedules for services at MSC Maintains confidentiality at all times (includes patients, families, visitors, employees, etc.) Complies with all hospital and departmental policies and procedures including but not limited to: use of phone, dress code, arriving and leaving on time, compliance with PTO policy and occupational health. Attends all annual mandatory in-service. Participates in Quality Improvement programs. Works efficiently, is flexible and sets priorities effectively. Manages multiple priorities. Meets with AVP and Director frequently to keep goals aligned. Maintains office supplies, printer functions, and ordering. Performs all related duties, special projects and functions necessary for the maintenance of efficient, economic and quality operation of the department and hospital.
