Job Overview The Director of Patient Growth & Experience is a senior, patient-facing growth role responsible for converting qualified interest into an exceptional, organized patient journey across the existing Profeta Medical Institute practice and the emerging Profeta Vitality Institute (PVI). The role has an immediate dual mandate: improve legacy-practice revenue through structured reactivation and follow-up, while building the Personal Vitality Blueprint pipeline for November 2026 and the full PVI program pipeline for January 2027. This is not a clinical sales role. Licensed clinicians determine medical appropriateness, diagnosis, treatment recommendations, and clinical plans. The Director owns the nonclinical commercial and concierge process: timely outreach, education about the patient journey, logistics, scheduling, financial conversations, follow-up, CRM discipline, and movement of clinically appropriate patients toward their next step. Primary Objectives Generate near-term revenue from the existing patient base through professional reactivation, overdue follow-up, completion of previously recommended next steps, and appropriate continuity opportunities. Build and manage the November-December Personal Vitality Blueprint pipeline. Develop a qualified January 2027 pipeline for PVI programs without making independent clinical recommendations. Create a premium, high-touch patient conversion experience consistent with PVI's physician-led positioning. Establish rigorous CRM, follow-up, attribution, conversion, and revenue-reporting discipline. Work closely with the Digital Growth Lead so that social, digital, PR, referral, and website demand converts into scheduled and paid patient activity. Core Responsibilities 1. Legacy Patient Reactivation & Revenue Recovery Segment and systematically work existing active, dormant, overdue, and high-value patient populations in collaboration with clinical and operations leadership. Follow up on incomplete or delayed nonclinical next steps after the clinical team has identified the appropriate pathway. Re-engage patients who are overdue for reassessment or follow-up and facilitate scheduling. Maintain a disciplined outreach cadence across telephone, email, and approved communication channels. Track contacted, reached, qualified, scheduled, paid, and completed outcomes in the CRM. Identify recurring friction points preventing patients from proceeding and report them to leadership. 2. Personal Vitality Blueprint Pipeline Serve as the principal nonclinical concierge for qualified Blueprint inquiries and applications. Explain the Blueprint process, timing, logistics, pricing, and what patients should expect. Coordinate payment/deposit, scheduling, intake completion, and handoff into the clinical workflow. Maintain a November and December pipeline dashboard and ensure every qualified inquiry receives timely follow-up. Support a controlled founding Blueprint cohort while protecting the premium patient experience. 3. PVI Program Pipeline & Enrollment Support Track Blueprint patients through completion and subsequent physician recommendations. After a clinician has made a recommendation, explain program logistics, financial requirements, scheduling, and onboarding. Maintain visibility into January and subsequent program capacity and anticipated starts. Coordinate closely with operations so commercial commitments never exceed clinical capacity. Support transition into appropriate continuity offerings, including Stewardship, when clinically and operationally appropriate. 4. Digital Lead Conversion Own rapid follow-up for qualified leads generated through website, social media, digital advertising, PR, referrals, events, and email. Work daily with the Digital Growth Lead to identify lead quality and which sources are producing actual patients and revenue. Ensure source attribution is captured so PVI can measure revenue and acquisition cost by channel. Provide the marketing team with recurring feedback on patient questions, objections, motivations, and content opportunities. 5. Patient Experience Deliver a sophisticated concierge experience appropriate for a premium physician-led institute. Communicate clearly and confidently about high-consideration financial decisions without pressure tactics. Protect confidentiality and patient trust at every stage. Escalate clinical questions to licensed clinical personnel rather than attempting to answer outside the role's scope. Coordinate handoffs among front office, clinical team, operations, and finance so the patient experiences one coherent organization. 6. CRM, Reporting & Forecasting Maintain complete CRM records, next actions, follow-up dates, pipeline stage, source, and financial outcome. Produce a concise weekly growth dashboard for leadership. Forecast expected Blueprint bookings, legacy revenue opportunities, and January program pipeline. Measure conversion rates at each stage and identify where qualified patients are being lost. Maintain disciplined follow-up standards; no qualified lead should disappear because ownership is unclear.
