We are seeking a Clinical Coordinator for our cosmetic and ENT practice to perform a variety of daily administrative, patient concierge and clerical tasks in our Princeton, NJ and Yardley, PA offices. Travel is required to both offices. As the Clinical Coordinator, you will be the first point of contact for the office. You will support day-to-day operations by performing administrative tasks and ensuring high- quality customer service for their patients. Some duties include offering administrative support across the organization. You will welcome guests and greet people who visit the practice. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Clinical Coordinator, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Clinical Coordinator's duties and responsibilities are to ensure the front desk welcomes patients positively, and executes all administrative tasks to the highest quality standards. Responsibilities:
Serve as a primary point of contact for prospective and established patients, providing a welcoming, professional, and seamless experience throughout their care journey. Answer incoming telephone calls, respond to patient inquiries, direct calls to appropriate personnel, and coordinate communication with clinical staff as needed. Educate patients on cosmetic treatment options, procedures, pricing, financing programs, and pre- and post-procedure instructions. Schedule, confirm, reschedule, and cancel patient appointments; accurately maintain appointment records and patient information within the EMR system. Contact patients to confirm upcoming appointments and communicate any scheduling updates. Obtain, verify, and update patient demographic information, insurance coverage, eligibility, and referral requirements prior to appointments. Explain practice policies, including referrals, financial responsibility, insurance benefits, payment procedures, and schedules of charges. Prepare and provide cosmetic surgery quotes and assist in managing Botox and dermal filler rewards programs. Obtain and process all required patient documentation, including registration forms, privacy acknowledgments, financial responsibility statements, consent forms, and other practice-required records. Enter patient registration and admitting information into the practice management system and prepare any required patient routing documentation. Learn and perform cosmetic medical photography in accordance with practice protocols. Collaborate closely with cosmetic providers, physicians, and clinical staff to ensure coordinated patient care and an exceptional patient experience during visits and procedures. Address patient questions regarding billing, statements, insurance coverage, and benefits; communicate with the billing department regarding patient alerts, balances, and account concerns. Receive and process payments for services rendered in accordance with practice policies. Room patients and take basic signs. Prepare exam rooms before and after appointments, which includes cleaning and sterilizing rooms and tools. Support general office operations by maintaining medical records, assisting with in-office procedures as needed, and cross-training to perform limited clinical and technical responsibilities. Requirements Proven work experience as a Receptionist, Front Office Representative or similar role Experience in Aesthetic medicine is preferred (Cosmetics, Plastic Surgery, Dermatology, Facial Plastic Surgery, Oculoplastic Surgery) Proficiency in MS Office, experience with EMR software a plus Hands-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude
Pay:
$18.00 - $22.00 per hour
