We are seeking a highly organized, detail-oriented Surgical Scheduler to join our team. The Surgical Scheduler is responsible for coordinating all aspects of patient surgical scheduling, including communicating with patients, providers, and surgical facilities to ensure seamless preparation and follow-through for procedures. This individual must be able to multitask in a fast-paced environment, maintain excellent communication with clinical and administrative staff, and provide a positive and supportive experience for patients.
Key Responsibilities:
Schedule in-office and hospital-based surgical procedures Coordinate pre-operative testing, clearances, and authorizations Obtain and verify insurance benefits and surgical authorizations Contact patients to confirm surgery dates, times, locations, and pre-op instructions Prepare and send surgical paperwork and documentation to appropriate facilities Collaborate with physicians, nurses, medical assistants, and billing staff to ensure accuracy and timely preparation Update and maintain surgery calendars, EMR documentation, and case logs Follow up with patients post-surgery to ensure proper recovery and manage reschedules if needed Assist in tracking surgical supplies and inventory as needed Maintain HIPAA compliance at all times
Qualifications:
1-2 years of experience in a surgical scheduling or medical office coordinator role Knowledge of insurance verification and prior authorizations (required) Familiarity with EMR systems (EMA, EPIC, or similar) Strong organizational and communication skills Ability to multitask, prioritize, and work independently Positive attitude and team-first mentality High School Diploma or equivalent (Associate's or healthcare certification a plus)
Preferred Skills:
Dermatology or surgical specialty experience Bilingual (English/Spanish) is a plus Experience with surgical billing codes and
CPT/ICD-10
