About Exceptional Dentistry Exceptional Dentistry is a privately owned, fee-for-service dental practice in Summerlin. We provide comprehensive, cosmetic, restorative, and advanced dental care with an emphasis on clinical excellence, and an unreasonably high level of personal service. We're looking for an experienced Dental Practice Administrator to lead our front-office operations and help create an exceptional experience from a patient's very first phone call through treatment and beyond. This is a high-responsibility, highly patient-facing leadership position. You'll oversee the front-office experience, personally manage our new-patient journey, coordinate larger treatment cases, help patients navigate financial decisions, oversee scheduling and key administrative systems, and provide leadership to another front-office team member. The Person We're Looking For You have a natural ability to connect with people. You're warm, confident, polished, and comfortable speaking with everyone from a nervous new patient to someone considering significant cosmetic or restorative treatment. You listen well, remember details, read the room, and make people feel genuinely cared for. You're also highly organized and proactive. You notice when the schedule is off, a claim needs attention, a patient hasn't followed up, or a team member needs direction. Most importantly, you take ownership rather than assuming someone else will handle it. What You'll Own This role combines new-patient experience, treatment coordination, front-office leadership, scheduling, and financial oversight. You'll be responsible for making sure patients feel well cared for while helping the administrative side of the practice run smoothly.
Your responsibilities will include:
Own the new-patient experience from the first phone call through the patient's arrival, learning their goals and concerns, explaining how our practice works, scheduling appropriately, and ensuring the clinical team is prepared for their visit. Coordinate comprehensive and cosmetic treatment plans, including presenting fees, explaining payment and third-party financing options, organizing complex appointments, and consistently following up on unscheduled treatment. Help lead the front office, setting priorities, delegating responsibilities, supporting and developing another administrative team member, maintaining accountability, and addressing communication or patient-service issues before they become recurring problems. Oversee the schedule proactively, protecting appropriate time for larger procedures, coordinating complex care, monitoring doctor and hygiene schedules, identifying gaps or potential problems, and helping the team stay ahead rather than reacting. Oversee insurance, billing, and accounts receivable systems, including claims, EOBs, estimates, patient balances, payment arrangements, financing, and outstanding accounts. Because we are a fee-for-service, out-of-network practice, you should be able to explain insurance clearly without allowing insurance limitations to dictate treatment. Use Dentrix confidently as a core part of the role, including scheduling, treatment plans, patient accounts, insurance and claims, payments and adjustments, continuing care, documentation, unscheduled treatment, and administrative reports. Strong working knowledge of Dentrix is required, and advanced experience is a significant advantage. Maintain strong follow-through across the practice, making sure important calls, messages, treatment plans, claims, financial questions, and patient concerns do not get lost or left unresolved. This is a highly patient-facing leadership role. Experience Required Minimum 3 years of dental front-office experience Meaningful experience with dental treatment coordination Experience discussing treatment fees and financial arrangements with patients Strong understanding of dental terminology and common dental procedures Strong dental insurance/billing knowledge and experience with dental insurance claims/EOBs Experience with third-party patient financing Strong working knowledge of Dentrix Experience managing dental schedules Excellent phone and in-person communication skills Excellent organization and follow-through Comfort discussing larger treatment plans and significant fees Strongly preferred Previous dental leadership or supervisory experience Fee-for-service or out-of-network dental experience Cosmetic/comprehensive restorative dentistry experience Experience coordinating full-mouth rehabilitation or other larger cases Experience tracking case acceptance and unscheduled treatment Experience developing or improving front-office systems You don't need to have held the title Practice Administrator before. An exceptional Treatment Coordinator, Office Administrator, Assistant Manager, or experienced dental front-office professional who is ready for greater leadership responsibility may be an excellent fit.

7:30 AM-12:00 PM Compensation $30-$35 per hour , depending on dental experience, leadership ability, treatment-coordination expertise, financial and insurance knowledge, and overall fit. Candidates with significant experience in comprehensive or cosmetic dentistry, high-value case coordination, leadership, Dentrix, and fee-for-service practice environments would be considered toward the higher end of the range. This position is also eligible for quarterly performance bonuses .
