This position is responsible for leading our team, maintaining exceptional patient experiences, and ensuring that the practice operates efficiently, professionally, and in alignment with our standards of excellence. The ideal candidate is a confident and approachable leader who enjoys working with people, developing staff, solving problems, and creating an environment where both patients and employees feel valued. This is a hands-on management position focused primarily on team leadership, operational excellence, and accountability , The Office Manager will work closely with the Practice Manager and Dr. Pancholi to implement practice goals, improve workflows, and support the continued growth of our cosmetic surgery and med spa services. Key Responsibilities1. Team Leadership & People Management Lead, supervise, and support the daily activities of front desk, patient concierge, medical assistant, patient care coordination, and med spa staff. Establish clear expectations for professionalism, productivity, teamwork, and patient service. Create a positive, energetic, and collaborative work environment that reflects our luxury practice standards. Conduct regular team meetings, individual check-ins, and performance discussions. Provide ongoing coaching, training, and constructive feedback to help employees grow. Ensure staff members understand their responsibilities, follow established procedures, and support one another. Identify staffing needs, assist with recruiting and onboarding, and help develop training plans for new employees. Address employee concerns, interpersonal issues, and performance problems promptly and professionally. Recognize strong performance and encourage a culture of accountability, ownership, and continuous improvement. 2. Daily Practice Operations Oversee the day-to-day operations of the surgical center and med spa to ensure the practice runs smoothly and efficiently. Monitor daily schedules, staffing levels, patient flow, and operational priorities. Ensure that front desk, clinical, and med spa workflows are coordinated effectively. Identify operational bottlenecks and implement practical solutions to improve efficiency. Develop, maintain, and enforce standard operating procedures (SOPs). Ensure the practice is consistently prepared for patient appointments, consultations, procedures, and surgical days. Coordinate with clinical and administrative team members to maintain a seamless patient experience. Monitor facility presentation, cleanliness, organization, and overall readiness. Ensure supplies, equipment, and essential operational resources are available and appropriately maintained. 3. Patient Experience & Service Excellence Maintain the high-end, personalized patient experience expected at Pancholi Cosmetic Surgery. Ensure patients are greeted warmly, treated respectfully, and provided with attentive, professional service. Coach staff on communication, telephone etiquette, responsiveness, and service recovery. Monitor patient feedback, satisfaction, and concerns. Address patient complaints or service issues promptly and escalate clinical concerns to the appropriate provider. Ensure patients receive consistent communication throughout their surgical and med spa journeys. Help create a welcoming environment that reflects the practice's reputation for quality, safety, and exceptional care. 4. Staff Performance & Accountability Establish and monitor performance expectations for each department. Review staff productivity, attendance, punctuality, and adherence to practice policies. Monitor patient communication, scheduling accuracy, follow-up completion, and other relevant performance indicators. Participate in employee evaluations and recommend appropriate development opportunities. Ensure staff follow dress code, confidentiality, workplace conduct, and other practice policies. Address performance concerns fairly, consistently, and in collaboration with the Practice Manager. Promote a culture where employees take ownership of their responsibilities and contribute to the success of the practice. 5. Process Improvement & Practice Growth Evaluate current workflows and recommend improvements that enhance patient care, employee efficiency, and profitability. Assist with the development and implementation of new services, programs, and practice initiatives. Support the growth of the med spa through effective team coordination, service execution, and operational planning. Help implement and optimize practice management systems, including PatientNow and other operational tools. Monitor the effectiveness of scheduling, patient follow-up, and internal communication processes. Work with leadership to identify opportunities to improve the patient journey from initial inquiry through post-treatment follow-up. Assist in implementing initiatives that increase patient retention, referrals, and overall satisfaction. 6. Compliance, Safety & Practice Standards Ensure staff follow established practice policies, confidentiality requirements, and applicable regulatory standards. Support compliance with patient privacy and HIPAA requirements. Ensure appropriate staff training and documentation are maintained. Assist with maintaining standards required for the practice's accreditation and safe operations. Escalate clinical, safety, or compliance concerns promptly to the appropriate leadership. Work with clinical leadership to ensure non-clinical staff understand their responsibilities and limitations. 7. Administrative & Operational Support Assist with staffing schedules, time-off requests, and daily coverage. Support inventory management, supply ordering, and vendor coordination. Monitor operational expenses and identify opportunities for cost control. Assist with payroll-related information, employee records, and other administrative functions as assigned. Maintain organized records and ensure important operational tasks are completed on time. Provide regular updates to the Practice Manager regarding staffing, operations, challenges, and opportunities. Qualifications Minimum of 3-5 years of experience in office management, practice management, healthcare operations, hospitality management, or a related leadership role. Demonstrated experience supervising, coaching, and developing employees. Strong organizational, problem-solving, and communication skills. Ability to manage multiple priorities in a fast-paced, patient-focused environment. Professional, polished, and approachable demeanor. Strong attention to detail and ability to follow through on responsibilities. Experience in a medical practice, cosmetic surgery center, med spa, luxury hospitality, or similar service-oriented environment preferred. Familiarity with scheduling systems, electronic medical records, and office management software preferred. Knowledge of HIPAA and healthcare compliance requirements preferred.
