Job Description

Job Summary We are seeking an organized, motivated, and patient-focused professional to join our growing team as a Patient Experience Coordinator.

This role combines healthcare administration, patient services, business operations, and clinical support. You will serve as the primary point of contact for new patients, guiding them from referral through their first appointment while ensuring an exceptional patient experience every step of the way.

Working closely with the Director of Business Development, you will support the referral process by coordinating with patients, physician practices, legal offices, and insurance carriers to gather information, schedule appointments, verify insurance claims, and maintain accurate records.

This position is ideal for a Medical Assistant or healthcare professional who enjoys patient interaction but is looking to transition into healthcare operations, business administration, and practice management while continuing to use clinical skills. Duties Patient Coordination & Customer Service
  • Serve as the primary contact for new patients from referral through their first appointment.
  • Schedule new patient appointments and coordinate provider schedules.
  • Guide patients through the intake process and answer questions regarding appointments and required documentation.
  • Conduct appointment reminders and follow-up communications.
  • Contact patients who miss appointments and assist with rescheduling.
  • Deliver an exceptional patient experience through professional, compassionate communication. Insurance & Administrative Coordination
  • Verify insurance eligibility and claim information.
  • Communicate with insurance carriers regarding claim status.
  • Obtain necessary information from legal assistants, physician office staff, and insurance representatives.
  • Maintain accurate patient information within MEDENT.
  • Ensure documentation is complete and organized prior to appointments.
  • Track patient scheduling progress through the scheduling and onboarding in Salesforce. Referral Process Support
  • Support the referral process through timely communication with referring offices.
  • Build positive working relationships with legal assistants, front office personnel, medical assistants, and administrative staff at referral offices.
  • Communicate professionally while representing the company.
  • Escalate referral concerns, service issues, or relationship opportunities to the Director of Marketing & Business Development. Clinical Support
  • Assist with new patient intake as needed.
  • Obtain and document vital signs, including blood pressure and pulse oximetry.
  • Review intake paperwork for completeness.
  • Enter patient history and intake information into the electronic medical record.
  • Prepare patients for provider evaluation. Preferred Qualifications
  • Associate degree or higher in Business, Healthcare Administration, Communications, or a related field preferred, or an equivalent combination of education and professional experience.
  • Medical Assistant certification or equivalent clinical experience preferred.
  • Previous experience in a medical office, healthcare administration, patient coordination, customer service, or office management.
  • Strong written and verbal communication skills.
  • Comfortable learning and using multiple technology platforms, including electronic medical records, CRM systems, and Microsoft Office or Google Workspace. You'll Be a Great Fit If...

Compensation Pay Range:
$21.00 - $23.00 per hour, based on experience, qualifications, and demonstrated ability. This position also includes a performance-based bonus program that rewards exceptional performance, ownership, and contribution to the practice's goals.
