$23.00-$25.00 per hour (based on experience) About Bio Behavioral Institute Bio Behavioral Institute is a nationally recognized specialty practice dedicated to the treatment of Obsessive-Compulsive Disorder (OCD), anxiety disorders, Body Dysmorphic Disorder (BDD), Body-Focused Repetitive Behaviors (BFRBs), and related conditions. We are seeking compassionate, organized, and dependable Patient Services Coordinators to join our growing administrative team. As a Patient Services Coordinator, you will play a key role in creating an exceptional patient experience while supporting the daily operations of a specialized behavioral health practice. This position is ideal for someone who enjoys helping people, thrives in a fast-paced healthcare environment, and takes pride in delivering outstanding customer service. We are looking for the right candidates first. Depending on the strength of the applicant pool, we anticipate hiring either one full-time Patient Services Coordinator or up to two part-time Patient Services Coordinators. What You'll Do As a Patient Services Coordinator, you'll serve as one of the first points of contact for our patients and help ensure a smooth, welcoming, and organized experience throughout their care.
Responsibilities include:
Welcome and assist patients in person, over the phone, and through email Schedule consultations, follow-up appointments, and coordinate provider calendars Complete patient registration and maintain accurate demographic and administrative records. Collect payments, review financial policies, and assist patients with administrative questions regarding their accounts. Process intake paperwork and maintain accurate patient records within our Electronic Medical Record (EMR) system Scan, upload, and organize patient documentation, insurance forms, and reimbursement requests Coordinate administrative communication between patients, providers, and internal departments Monitor shared inboxes, voicemail, and incoming administrative requests to ensure timely follow-up. Support daily Patient Services operations while maintaining exceptional customer service and an efficient patient experience. Provide administrative support for consultation scheduling and Intensive Outpatient Program (IOP) operations as needed Work collaboratively with providers and administrative team members to ensure continuity of patient care and office operations. What Makes Someone Successful in This Role We're looking for someone who is: Friendly, professional, and patient-focused Highly organized with exceptional attention to detail Comfortable working in a fast-paced environment with changing priorities An excellent communicator with strong interpersonal skills A proactive problem solver who enjoys taking initiative Compassionate when working with individuals receiving mental health treatment Dependable, adaptable, and team-oriented Able to multitask while maintaining accuracy and professionalism Qualifications Required Minimum of 2 years of administrative, customer service, or healthcare office experience Excellent written and verbal communication skills Strong organizational and multitasking abilities Proficiency with Microsoft Office and Google Workspace Ability to work independently while collaborating effectively with a team Preferred Experience in a behavioral health, mental health, psychology, psychiatry, counseling, or specialty healthcare practice Experience using an Electronic Medical Record (EMR) system Experience with patient scheduling, patient coordination, insurance verification, or reimbursement documentation Associate's or Bachelor's degree (preferred but not required) We're looking for someone with a positive attitude, a strong work ethic, and a genuine passion for helping others.
