Executive Assistant / Patient Coordinator AIM Center for Personalized Medicine Purchase, NY Job Details Full-time $24 - $26 an hour 1 day ago Benefits Paid time off Employee discount Qualifications Teamwork Executive administrative support Research Bachelor's degree Organizational skills Marketing operations Full Job Description Full-time Executive Assistant / Patient Coordinator AIM Center for Personalized Medicine, founded by Dr. Tania Dempsey, is an internationally recognized integrative medicine practice treating complex chronic conditions including MCAS, autoimmune disease, mold toxicity and vector-borne illnesses. We are hiring a Executive Assistant / Patient Care Coordinator to support Dr. Dempsey across her professional and clinical responsibilities, while also being one of the first friendly faces our patients come to know. Every day brings something a little different, one moment you might be booking a flight for a speaking engagement, the next you are on the phone with a patient who just needs a reassuring voice. What You'll Do Working Alongside Dr. Dempsey
  • Screen, prioritize, and manage email correspondence on behalf of Dr. Dempsey
  • Manage calendar and scheduling across multiple professional commitments
  • Address requests and inquiries from organizations, committees and colleagues
  • Coordinate and schedule podcast guests for Mast Cell Matters and manage related communications
  • Arrange travel for conferences and speaking engagements, including flights, accommodations, and itineraries
  • Create PowerPoint presentations for Dr. Dempsey's speaking engagements, masterclasses, and professional events Caring for Our Patients
  • Manage Dr. Dempsey's in-office patient scheduling and coordinate follow ups and care logistics
  • Help out at the front desk and the supplement store as needed
  • Answer patient calls, emails, and messages with warmth and patience
  • Support AIM Practice Manager as needed Provide Additional Support
  • Assist with posting to social media
  • Create patient and practitioner newsletters
  • Light research and assistance with special projects as needed Who Thrives Here
  • Three to five years of executive assistant or administrative experience, ideally in a medical setting
  • Sharp attention to detail - you catch the small details others tend to miss
  • Clear communication and genuine care for patients navigating health challenges
  • Experience with EMR systems, Microsoft, Excel, Word, Mac, Outlook and Asana
  • Discreet with confidential information, and thrives in a fast paced, evolving environment
  • Experience supporting C-Suite executives is a plus Why Join AIM Center
