About Wick Facial Plastics Wick Facial Plastics is a startup boutique facial plastic surgery and aesthetic medicine practice in Cleveland, Ohio. Position Summary We're seeking a Patient Experience & Front Desk Coordinator to serve as the welcoming face and voice of our practice. This position blends traditional reception responsibilities with personalized patient coordination and active participation in our social media presence. You'll create a seamless, thoughtful experience for every patient—from their first call to post-treatment follow-up—while helping the team share our story with authenticity and care. Responsibilities
  • Welcome and assist patients with warmth, professionalism, and attention to detail
  • Manage phone, email, text, and social media correspondence with clarity and empathy
  • Coordinate patient scheduling, check-in/out, and daily flow
  • Maintain an organized, polished reception and waiting area that reflects our brand
  • Support administrative tasks such as scanning, filing, and supply management
  • Help coordinate patient follow-ups (thank-you notes, reminders, or surveys)
  • Capture photos or short videos for our social media and assist with simple edits or uploads (Canva, Instagram, or CapCut)
  • Collaborate closely with the clinical and marketing teams to enhance workflow and patient experience Qualifications
  • Previous experience in a cosmetic medical practice, hospitality, luxury retail, salon/spa, or social club environment strongly preferred. Please note hospital experience is not required
  • Excellent verbal and written communication skills
  • Dependable, organized, and detail-oriented
  • Team player who enjoys helping others and maintaining a calm, positive energy
  • Comfortable with technology (Google Docs, email, texting platforms, scheduling tools, or basic social media)
  • Experience capturing and editing short videos or photos for social media (e.g., Canva, Instagram, CapCut, etc.)—this is a key part of the role and shared across the team
  • Professional, polished, and empathetic demeanor
