Excellent onboarding and training Synergy between support staff, providers, and administration Integrated systems for efficient communication and program delivery Therapy Administrator Responsibilities Professionally assist providers, staff, visitors, and patients Attend to all calls in a professional, courteous, helpful, and kind manner Ensure all required patient information is completed and follow-up as needed with patients or providers to complete documentation Work together with therapist, therapy manager and clinical director to understand schedules and caseload in order to understand caseload availability for new patients Schedule and qualify new therapy patient appointments while maintaining a patient centric mindset that creates a positive first impression on behalf of Emerald Psychiatry Verify proper patient information is entered in the records system and update as needed Collaborate with others to gather required information in order to respond to co-workers, providers, patients, third party-vendors, etc. in a timely manner Proactively engage and interact with patients, management, and clinical staff to respond and process patient requests, inquiries, information, etc Communicate to patients in an understanding way when needing to cancel or reschedule appointments Build and establish positive relationships with patients when challenges arise and/or when needing to recover their Emerald experience Communicate clearly in a considerate and empathetic manner consistent with patients' comprehension level Assist therapy leadership in running retention, patient cancellation and capacity reporting using Excel Maintain confidentiality of all medical providers, staff, and patient's information while being HIPAA compliant Assess patients to understand when to elevate and reroute patients based on needs Communicate any concerns regarding safety, patient needs, staffing issues, etc. to supervisor Work collaboratively interdepartmentally to meet all deliverables Manage work and organize tasks in a productive and cooperative manner with co-workers Maintain an up-to-date knowledge of insurance benefit plans, providers, medical terminology, Emerald Psychiatry service lines, and more. Have the ability to recall and inform others when required Maintain a clean work environment Responsible for demonstrating a collaborative teamwork environment where representatives will substitute for other Operations Department positions/duties as needed Able to balance multiple tasks and remain flexible with work duties based on company needs Must work independently to understand when there may be a lag in the clinical workload to assist in operations on an as needed basis Accountable to accurate keying of information and required to self-audit work daily to correct mistakes and ensure streamline service to patients Perform other duties as required by the Leadership Team including but not limited to the Clinical Director and Therapy Managers Medical Assistants Requirements Must be at least 21 years of age Excellent verbal and written communication skills Must be proficient in Microsoft Office Suite including Teams and Outlook Must have a strong understanding of Excel Preferred 1 year experience in a mental health facility in administrative position working with patients Preferred 1 year experience in healthcare reception or similar position Must have knowledge in medical insurances and benefit verifications along with the ability to communicate this knowledge. Medical Practice Management, Electronic Health Records, and Patient Engagement experience is preferred. Experience in Doxy and AdvancedMD a plus Ability to pass a criminal background check including maintaining a safe driving record is required Must have a have a high school diploma or GED Current CPR certification or ability to complete certification within 6 months of employment is required Ability to learn new software and cross train in multiple areas within the office is required Ability to work in a shared team environment is a must.
