Providence Care Center, a CHI Living Community located in beautiful Sandusky, Ohio, is seeking an organized, detail-oriented, and compassionate Admissions Coordinator to join our skilled nursing admissions team. The Admissions Coordinator provides crucial administrative and clerical support to ensure a smooth and efficient admissions process for prospective residents and their families. This position is highly focused on organization, accuracy, and the timely completion of tasks involving admission paperwork, insurance authorization and verification, medical records, database management, and confidential record keeping. The ideal candidate is a meticulous and professional individual who will help create a positive admissions experience while contributing to the facility's overall census goals. Essential Job-Specific Duties and Responsibilities Administrative Admissions Support:
Provide comprehensive administrative support throughout the entire resident admission cycle.
Admissions Paperwork Management:
Assist with the preparation, processing, and organization of all required admission paperwork, including resident application forms, contracts, medical records, and other relevant documents, ensuring accuracy and completeness.
Insurance Authorization & Verification:
Support the process of obtaining and verifying insurance authorizations and benefits for prospective residents, communicating diligently with insurance providers and documenting all interactions.
CRM/Database Management:
Accurately and timely enter and update all prospect, referral, and resident data into the Customer Relationship Management (CRM) system or designated admissions tracking database.
Communication & Coordination:
Assist with coordination of tours, meetings, and calls for the Admissions Specialist. Act as a point of contact for routine inquiries, directing more complex questions to the Admissions Specialist.
Record Keeping & Filing:
Maintain organized and confidential physical and electronic files for all admissions-related documentation, adhering to facility standards and regulatory requirements.
Office Support:
Perform general administrative duties such as scanning, copying, mailing, and maintaining an organized work environment for the admissions department.
Compliance:
Ensure all administrative tasks and record-keeping practices comply with federal, state, and local regulations, as well as company policies, including HIPAA.
Job Requirements Education:
High school diploma or GED required; Associate's degree or some college coursework in healthcare administration, business, or a related field preferred.
Experience:
Requires 1-2 years of administrative, office, or customer service experience, ideally in healthcare, with strong organizational skills and attention to detail. Candidates must be proficient in Google Workspace, data entry, and possess excellent verbal and written communication. A professional, discreet, compassionate, and team-oriented approach, particularly with seniors, is essential, with medical terminology a plus.
