Job Description

Clinic Operations Coordinator Health Partners Free Clinic is seeking an organized, resourceful, and hands-on individual to serve as our Clinic Operations Coordinator . This position helps make sure the many operational pieces surrounding patient care actually work. During clinic sessions, the Clinic Operations Coordinator is a visible, accessible resource in the clinical area—helping providers, staff, and volunteers navigate HPFC processes, coordinating the practical steps needed to carry out patient-care plans, anticipating needs, and helping resolve problems as they arise. Outside of clinic sessions, the Coordinator manages many of the internal systems that keep the clinic prepared, organized, safe, and functioning effectively. This is an ideal position for someone who understands healthcare, enjoys solving problems, notices what needs to be done, and is comfortable moving between a busy clinical environment and detailed administrative work.
What You'll Do:
Keep Clinic Operations Moving
  • Maintain an active and accessible presence in the clinical area during clinic sessions.
  • Help providers, staff, and volunteers navigate HPFC services, processes, partnerships, and available resources.
  • Anticipate operational needs and help resolve barriers that could delay patient care.
  • Help coordinate the practical next steps when providers order laboratory testing, diagnostic imaging, medications, referrals, or other services.
  • Help determine how and where an ordered service can be obtained when the process isn't immediately clear.
  • Assist volunteers and newer staff in understanding clinic workflows and knowing where to turn for assistance.
  • Identify bottlenecks, incomplete processes, supply needs, and other operational problems and help move them toward resolution. Maintain Clinic Readiness
  • Maintain inventory of clinical, laboratory, office, and other routine supplies.
  • Monitor supply levels and order approved supplies before shortages occur.
  • Maintain organized storage areas, room supplies, and clinic-readiness systems.
  • Support medication-room inventory and organization according to established HPFC procedures and under appropriate clinical oversight.
  • Help maintain the operational systems needed for laboratory and diagnostic services.
  • Coordinate routine facility, equipment, safety, and maintenance needs. Coordinate Compliance & Safety Systems
  • Maintain HPFC's master compliance calendar and administrative tracking systems.
  • Track licenses, certifications, inspections, renewals, safety requirements, and recurring deadlines.
  • Maintain organized documentation and provide advance reminders when action is required.
  • Help prepare for inspections, reviews, and renewals.
  • Maintain established safety and emergency-preparedness checklists and records.
  • Identify concerns and make sure they reach the appropriate clinical or organizational leader. Support Staff & Volunteers
  • Help volunteers and newer staff learn HPFC's operational processes.
  • Maintain required staff and volunteer training records and track upcoming requirements.
  • Coordinate administrative onboarding and offboarding processes.
  • Help arrange system access, equipment, keys, and other operational needs for new staff and volunteers.
  • Work collaboratively with providers, clinical staff, Patient Access staff, Resource Navigation, volunteers, and organizational leadership. Help Maintain HPFC's Internal Systems Depending on organizational needs, the Clinic Operations Coordinator also helps maintain routine administrative systems involving:
  • Vendors, service agreements, and renewal dates.
  • Organizational insurance records.
  • Routine organizational data and reporting.
  • Invoice and receipt documentation.
  • Bank deposit preparation and related records.
  • St. Vincent de Paul Charitable Pharmacy applications and administrative follow-through.
  • Complaint and incident documentation.
  • Operational procedures, checklists, and recurring systems. We're Looking for Someone Who…

  • Understands when something requires clinical or leadership judgment rather than an administrative decision.
  • Enjoys being part of a small team where everyone contributes to the organization's success.
A Clinical Background Would Be a Plus Healthcare or clinical experience is strongly preferred for this position. A background as a Medical Assistant, LPN, EMT, phlebotomist, or another hands-on healthcare role would be especially helpful. We're looking for someone who understands the language and flow of healthcare and can become knowledgeable about how HPFC connects patients with laboratory services, diagnostic testing, medications, referrals, prescription assistance, and other resources. An individual with appropriate clinical education, credentials, and training may also assist with clinical-support activities within their professional scope and HPFC policies. Qualifications
  • High school diploma or equivalent required; additional education in healthcare, business, healthcare administration, or a related field preferred.
  • Experience in healthcare, a medical office, clinic, nonprofit health program, or comparable setting strongly preferred.
  • Experience coordinating multiple processes, priorities, and detailed records.
  • Familiarity with healthcare terminology, laboratory or diagnostic services, referrals, medications, or healthcare workflows preferred.
  • Strong computer skills and ability to learn new systems.
  • Electronic health record experience preferred; Athena experience is helpful but not required.
  • Strong written and verbal communication skills.
  • Demonstrated reliability, initiative, resourcefulness, organization, and attention to detail.
