Job Description

Job Summary We are seeking a self motivated and detail-oriented Medical Office Administrator to oversee the daily operations of our healthcare facility. The ideal candidate will possess strong administrative skills, comprehensive knowledge of medical office procedures, and the ability to manage multiple tasks efficiently. As a key member of our team, you will ensure smooth clinic workflows, maintain accurate medical records, and provide exceptional patient service. Your expertise in electronic health record (EHR) systems, medical billing, and insurance verification will be instrumental in delivering high-quality healthcare support. Responsibilities Manage patient scheduling, appointment coordination between chiropractic and physical therapy, and front desk operations using EMR/EHR systems incuding ChiroTouch and WebPT Verify insurance coverage, process claims, and handle medical collections to ensure timely reimbursement and financial accuracy. Maintain and update electronic health records (EHR), ensuring compliance with HIPAA and clinical confidentiality policies. Review documentation for accuracy and completeness, including coding procedures using
CPT, ICD-10
codes for billing and care plans. Assist with medical billing processes, including Medicare, insurance, Workman's Comp, and personal injury claims submission and insurance verifications. Provide excellent patient service by answering multi-line phone systems with professionalism and courtesy while managing appointment scheduling efficiently. Support office management tasks such as filing, maintaining medical records, managing office supplies, and ensuring a clean and organized work environment. Utilize computer skills in Microsoft Office as well as Google Drive and Google Sheets for documentation, reports, and correspondence while adhering to health information management standards. Collaborate with clinical staff to facilitate intake procedures and ensure accurate documentation review for all patient interactions. Demonstrate proficiency in chiropractic and physical therapy terminology Proven experience in a medical office setting with strong knowledge of medical administrative support functions. Knowledge of medical coding including
CPT, ICD-9/10
coding standards for billing purposes. Understanding of health insurance processes including verification, claims submission, and Medicare regulations. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong communication skills with a focus on phone etiquette and customer service excellence. Prior clinic experience is highly desirable Knowledge of clinical confidentiality policies and health information management standards. Must be willing to be trained on basic chiropractic assitant duties including rooming patients, asking for subjective information, and therapies with the objective of better understanding the schedule and workflow Join our team to contribute to efficient healthcare delivery through exceptional administrative support while fostering a welcoming environment for patients and staff alike!
