Job Description

Surgery Scheduling Coordinator Job Overview Eye Care Specialists of Oklahoma is seeking a detail-oriented, organized, and patient-focused Surgery Scheduling Coordinator to join our team. This position is responsible for coordinating the surgical process from the physician's recommendation through scheduling, preparation, and post-operative follow-up. The ideal candidate is professional, dependable, compassionate, and able to manage multiple priorities while providing excellent communication and patient service. Our primary focus and goals is providing great patient care. Responsibilities Schedule patient appointments and surgeries according to physician direction and surgical facility requirements. Coordinate surgical dates and times with patients, physicians, surgery centers, and other members of the surgical team. Provide patients with clear pre-operative and post-operative instructions and assist with required surgical paperwork and documents. Answer phones and emails and respond timely to patient questions regarding surgeries, appointments, procedures, and instructions. Verify patient demographics and insurance information and obtain the required insurance authorizations and documentation. Prepare and communicate accurate patient charts, surgical records, and required documentation with ASC/ Hospitals. Enter patient, surgical, and post-operative information accurately into the electronic medical record and practice management system. Understand surgical procedures and required procedure times to maintain an accurate and efficient surgical schedule. Follow up on outstanding documentation, authorizations, or patient requirements to help prevent delays or cancellations. Ability to communicate and maintain healthy work relationships professionally with patients, physicians, referring providers, insurance companies, surgery center teams, and coworkers. Maintain patient confidentiality and comply with HIPAA requirements. Maintain a clean, organized, and professional work environment. Qualifications & Skills Previous surgery scheduling or medical office experience preferred. Familiarity with medical terminology, medical records, and medical coding. Ophthalmology experience is a plus. Experience with insurance verification or prior authorizations is preferred. Experience with Modernizing Medicine is a plus. Strong computer, telephone, and typing skills. Excellent communication and customer service skills. Strong organizational skills and attention to detail. Ability to multitask, prioritize, and meet deadlines in a busy medical environment. Ability to work independently while also being a positive and collaborative team member. Professional, dependable, and compassionate demeanor. High school diploma or equivalent required. Bilingual candidates are encouraged to apply.
