Job Description

We are seeking a highly organized, resilient, and experienced Medical Secretary to join our busy family practice. This is a fast-paced, high-volume role that demands exceptional multitasking skills, the ability to thrive under intense pressure, and unwavering reliability. Our team handles an extremely high workload, and the right candidate will be flexible with their schedule, a polished communicator, and someone who genuinely enjoys customer service in a medical setting. Responsibilities:
  • Arrive before the office opens to prepare the facility: turn on lights, computers, radio, and TV; log into all practice management and EMR systems.
  • Greet and welcome patients and their families with warmth, professionalism, and excellent customer service.
  • Support providers and medical assistants by maintaining accurate patient charts, managing the schedule for efficiency, performing efficient check-in/check-out procedures, creating and scheduling lab orders, completing prior authorizations, making timely reminder calls, and ensuring all orders are coded correctly and submitted to the appropriate facilities.
  • Manage daily financial tasks including reconciling end-of-day bank deposits, obtaining change for the office, accurately tracking copays and patient payments, and preparing end-of-day reports for providers.
  • Handle a high volume of incoming patient calls with professionalism, clarity, and empathy while multitasking effectively.
  • Maintain exceptional standards of cleanliness, organization, and hygiene throughout the office.
  • Perform end-of-day closing procedures: clean the facility, turn off all lights and equipment, log out of systems, shut down devices, and secure the building.
  • Open, sort, and distribute daily mail while managing additional administrative tasks as needed in our high-pressure environment.
Qualifications:
  • High school Diploma or GED
  • Completion of a Medical Terminology, Secretarial Course or equivalent.
  • 2 years of secretarial work in a busy clinical setting
  • Proficient with Microsoft Word, Microsoft Excel, and other office software
  • Must pass a criminal background check
  • 1 year of experience with an EMR This is a demanding role with a consistently high workload.
It is best suited for someone who is energized by a busy environment and has a history of succeeding in high-pressure medical office settings. We value longevity and are committed to supporting our team, but we are upfront that the pace can lead to burnout for those who are not fully prepared for the volume and intensity.
Pay:
$15.00 - $19.00 per hour
