As our Patient Care Coordinator , you will be one of the first people patients, families, and caregivers meet, and one of the people they rely on throughout their experience with us. This is not a traditional, desk-based front office position. You will be an active and visible part of the clinic, regularly moving between responsibilities, interacting with patients and caregivers, assisting with class and program setup, and stepping in to provide non-clinical patient support when needed. We are looking for someone with an outgoing, engaging personality who enjoys being involved in the energy of the clinic. You should be comfortable getting up from the desk, anticipating what the team needs, welcoming patients into the space, and contributing wherever you can make the patient experience better. Dynamic NeuroFit is a therapist-owned neurological rehabilitation practice serving aging adults and individuals with conditions including Parkinson's disease, stroke, dementia, and other neurological conditions . We are growing, including the opening of our new Broomall NeuroFit location , and we are looking for someone who wants to grow with us, contribute ideas, improve systems, and become an important part of the patient experience at both our Berwyn and Broomall clinics . Your time will be divided between the two clinics based on patient volume and operational needs. Some scheduling flexibility is important as the Broomall location continues to grow. Occasional support for special programs, community events, classes, or schedule adjustments may also be needed with advance notice. From the first phone call to scheduling follow-up care, you will help patients and caregivers understand what comes next and feel confident that they are in the right place. However, your contribution will not stop at the front desk. You may also help prepare the clinic for classes and programs, welcome and guide patients through the space, assist patients and caregivers with non-clinical needs, and help the team keep the day running smoothly. You will work closely with our clinicians and leadership team to keep schedules organized, respond to changes quickly, and make sure both clinics are prepared to provide an excellent patient experience every day. What You'll DoCreate an Engaging Patient Experience Warmly greet patients, families, caregivers, and visitors Bring an outgoing, positive, and welcoming presence to the clinic Build genuine relationships with patients and become a familiar, trusted part of their experience Regularly interact with patients and caregivers rather than remaining behind the front desk Help patients navigate the clinic and understand what comes next Look for opportunities to make patients feel more comfortable, included, and supported Build positive relationships with older adults, families, clinicians, and community partners Actively Support Classes, Programs, and Patients Help prepare rooms, materials, and equipment for classes, wellness programs, and clinic activities Assist with class setup and cleanup Welcome participants and help them get settled before programs begin Provide appropriate non-clinical assistance to patients and caregivers when needed Step in to support the clinical team with patient flow and clinic activities Remain aware of what is happening throughout the clinic and respond proactively Participate in special programs, community activities, and clinic events Be willing to move between administrative, patient-facing, and operational responsibilities throughout the day Scheduling and Clinic Flow Schedule evaluations and follow-up appointments Help maintain full, efficient clinician schedules Identify cancellations, openings, and scheduling opportunities Work closely with clinicians and leadership to respond to changing scheduling needs Help coordinate patient care across the Berwyn and Broomall locations Follow up with patients when needed to support attendance and continuity of care Monitor clinic flow and anticipate where additional support may be needed Front Office and Administrative Support Answer incoming calls, messages, and patient questions with excellent customer service Communicate clearly with patients and caregivers about appointments, paperwork, and next steps Help new patients feel comfortable throughout the intake and onboarding process Support day-to-day clinic operations across our NeuroFit locations Assist with documentation follow-up, scanning, organization, and other administrative responsibilities Maintain an organized, professional, and patient-ready front office Learn and effectively use our practice management, communication, and EMR systems Support communication related to NeuroFit programs, wellness services, and community activities Help ensure information is accurate, organized, and easily accessible to the team Help Us Build Better Systems We are growing, and we want someone who will bring more than task completion to the role.
