Full-Time Practice Administrator Job Summary Bluprint Counseling is a growing boutique therapy practice in Newtown, PA, and we are looking for a warm, organized, dependable, and proactive Full-Time Practice Administrator to support our day-to-day operations, client communication, and overall practice needs. This is a fully in-person position working closely with the practice owner and our clinical team. The ideal candidate has excellent people skills, strong attention to detail, good judgment, and feels confident communicating with clients and new inquiries in a professional, warm, and supportive way. We are looking for someone who takes initiative, enjoys creating and maintaining organization, and is interested in growing with the practice long-term. As our practice continues to grow, responsibilities may evolve over time based on the needs of the practice and the strengths of the person in this role. Responsibilities
- Answer incoming phone calls and respond to voicemails in a timely and professional manner
- Respond to client and new inquiry communication via phone, email, text, and secure messaging
- Assist with new client inquiries, scheduling, intake paperwork, and administrative follow-up
- Provide scheduling support and coordinate appointments with clinicians
- Maintain organization of administrative documents, spreadsheets, and ongoing workflow tasks
- Manage and update spreadsheets using Excel and/or Google Sheets
- Learn and utilize the practice's electronic health record and other administrative systems
- Assist with basic billing, payment, and other practice-related administrative tasks as needed
- Maintain strict client confidentiality and follow HIPAA and practice privacy procedures
- Assist with social media posting and light content support for the practice
- Help maintain a tidy, organized, comfortable, and welcoming practice environment throughout the day, including common areas and the waiting room
- Monitor office supplies and help keep client amenities and shared spaces stocked and organized
- Collaborate closely with the practice owner and clinical team to help day-to-day operations run smoothly
- Occasionally assist with practice-related errands and other in-person tasks as needed
- Take on additional administrative responsibilities as the role and practice continue to grow Qualifications
- Strong interpersonal skills and excellent written and verbal communication
- Warm, professional, and comfortable communicating with clients, families, and new inquiries
- Highly organized, detail-oriented, dependable, and able to follow through on tasks
- Proactive and able to notice and address day-to-day needs without always requiring direction
- Comfortable working independently, taking initiative, and asking questions when needed
- Strong computer skills, including proficiency with Excel and/or Google Sheets
- Comfortable learning new technology and practice-management systems
- Social media savvy with a creative eye for posting and presentation
- Able to handle sensitive and confidential information with discretion
- Prior administrative, healthcare, mental health, or customer service experience is a plus
- Interested in growing with a small practice long-term and becoming an integral part of the team Job Details
