It requires a Patient Care Coordinator who takes ownership, communicates confidently, and keeps patients and the clinic moving forward. This is more than an administrative position. You will be a trusted connection between patients, providers, and the rest of our team. You will guide patients through scheduling, clinical and administrative documentation, financial expectations, clinic policies, and the next steps in their care. We are looking for someone who thrives in a fast-paced environment, takes initiative, and knows how to balance empathy with accountability. They may be frustrated, overwhelmed, or uncertain about what to do next. Your role is to make their experience easier.
You will help patients:
Feel welcomed and valued from their first interaction Understand what to expect throughout their care Schedule appointments that support provider recommendations Stay engaged and consistent with their treatment Understand their benefits and financial responsibilities Navigate forms, policies, and clinic processes Communicate questions and concerns to the appropriate team member Feel confident about the next step in their care You will work closely with providers, exercise therapists, managers, and remote team members to create an organized, efficient, and patient-centered experience. How You'll Make an Impact You will: Create an excellent first and last impression during every patient interaction Support treatment-plan success by helping patients remain scheduled, informed, and engaged Lead patient conversations with clarity, confidence, and professionalism Maintain accurate documentation, tracking, payments, and communication Help providers track and schedule upcoming or overdue re-examinations Maintain an organized and efficient clinic flow Contribute to patient retention, referrals, reviews, and practice growth Support the implementation of new clinic programs, policies, services, and initiatives What You'll Do Patient Experience and New Patient Conversion Welcome every patient promptly and professionally while anticipating individual needs Respond quickly to new-patient inquiries by phone, text, email, and online scheduling Conduct engaging clinic tours and new-patient interviews using approved communication standards Explain the clinic's services accurately and address common questions or concerns Use approved scheduling and closing techniques, including dual-alternative and assumptive language, to help patients confidently choose an appointment Confirm online new-patient appointments within 24 hours Ensure required new-patient paperwork is completed and reviewed at least 48 hours before the appointment whenever possible Maintain accurate new-patient tracking, including paperwork status, referring provider, primary care provider, appointment status, and progression to re-examination Scheduling, Retention, and Re-Examinations Schedule patients accurately and efficiently while balancing provider and exercise therapist availability Help patients reserve multiple future visits when appropriate to support provider-recommended frequency and continuity Review schedules proactively to identify gaps, missing appointments, inconsistent frequency, and opportunities to improve clinic flow Assist providers with tracking, communicating, and scheduling upcoming or overdue patient re-examinations Send re-examination forms and appointment confirmations through approved communication channels Ensure re-examined patients schedule their next recommended re-examination when directed by the provider Execute recall and reactivation procedures for active, inactive, overdue, and missed patients Manage cancellation requests respectfully and strategically by offering alternative appointment times and reinforcing the importance of consistency when appropriate Partner with providers when recurring cancellations, adherence concerns, patient feedback, or life changes may affect care Patient Communication and Service Recovery Handle phone, text, email, portal, and in-person communication promptly and professionally Use MN Spine and Sport's 5-Star Service System and approved scripts while personalizing each interaction Lead conversations confidently while remaining warm, respectful, and patient-centered Explain clinic expectations, care processes, scheduling policies, and financial responsibilities clearly Listen carefully to concerns, remain composed during difficult conversations, and help identify an appropriate solution Document patient questions, concerns, feedback, and significant updates accurately Escalate clinical, financial, or service concerns to the appropriate team member Follow up until questions and concerns are resolved or transferred to the responsible person Documentation and Care Coordination Complete patient check-in accurately and identify visit-specific needs or updates Manage new-patient forms, outcome assessments, verification forms, consents, non-covered service disclosures, and other required documentation Prepare daily patient charts and maintain organized tracking systems Coordinate with on-site and remote team members by providing complete and accurate information Request imaging reports, medical records, and other information according to clinic procedures Process release-of-information requests, follow up on outstanding records, and communicate the status to the appropriate provider Maintain clear communication between patients, providers, managers, and other team members Promptly communicate information that may affect treatment, scheduling, safety, or the patient experience Financial Communication, Billing, and Payments Explain verified insurance benefits, copays, deductibles, estimated patient responsibility, and non-covered services clearly Discuss care-related financial expectations with confidence, accuracy, and professionalism Prepare and review financial agreements and required disclosures Process cash, check, credit card, administrative fee, and cash-service transactions accurately Follow card-on-file, payment-plan, balance, receipt, and refund procedures Identify discrepancies or questions and coordinate with the appropriate billing, insurance, or management team member Protect patient financial information and maintain confidentiality during all financial conversations Clinic Operations and Clinical Support Maintain a clean, organized, stocked, and patient-ready front desk, reception area, treatment rooms, rehabilitation spaces, and shared areas Participate actively in morning and afternoon huddles, team meetings, training, and clinic initiatives Prepare daily charts and review schedules for missing information, forms, or follow-up needs Maintain acupuncture carts, clinical supplies, office supplies, and patient-facing materials Monitor inventory, communicate low-stock items, and place approved orders as assigned Assist with approved therapeutic modalities, including laser, electrical stimulation, PEMF, decompression, and other services, after completing required training Assist with acupuncture needle removal under direct supervision and according to clinic safety procedures Clean and disinfect modality equipment, protective eyewear, treatment surfaces, and patient-contact items according to established protocols Support the team during peak periods, staff absences, special projects, and other reasonable business needs Patient Growth and Company Initiatives Ask appropriate patients for online reviews and referrals using approved clinic procedures Support and promote quarterly patient referral contests Help implement clinic initiatives, patient events, wellness programs, and community outreach activities Educate patients about new policies, technology features, services, treatments, classes, and programs Maintain awareness of current promotions, memberships, packages, and wellness offerings Participate in occasional community and weekend events, including Woodbury Days, Chamber events, expos, and patient-appreciation activities Represent MN Spine and Sport professionally and communicate our evidence-based, rehabilitation-focused approach accurately What We're Looking For Required Qualifications High school diploma or equivalent Strong interpersonal, customer-service, verbal, and written communication skills Professional, enthusiastic, and patient-focused demeanor Ability to lead patient conversations with confidence and clarity Strong organizational skills and attention to detail Ability to manage multiple patients, conversations, tasks, and deadlines in a fast-paced environment Proficiency with basic computer applications and ability to learn electronic health records, scheduling, payment, texting, and tracking systems Ability to follow structured processes, protect confidential information, and complete work accurately medical office, chiropractic clinic, rehabilitation facility, front desk, hospitality, sales, call center, or customer-service role Experience discussing financial responsibility, collecting payments,
