Location:
Candidates located in or near Denver, Colorado are preferred , as much of our leadership team and operations are based in Colorado. However, we are also expanding our work in Austin, Texas , making Austin another potentially great home base for this position. For candidates outside the Denver area — including Austin — we are looking for someone who is willing and able to travel to Denver approximately once per month to work alongside our leadership team and stay connected to the organization. Help Lead the Next Chapter of Rooted Rhythm Rooted Rhythm Therapy is a rapidly growing pediatric and family mental health practice committed to providing exceptional, relationship-based care to children, teens, adults, and families. Since opening in 2019, we have grown from one therapist to a multidisciplinary team of clinicians and administrative staff across multiple locations and states. We are now entering an important new chapter of growth — and we're looking for a Practice Director who is excited to help lead it. This is not a traditional office manager position, and it is not a purely strategic leadership role. We are looking for someone who can think strategically, operate practically, and move fluidly between the two. The Practice Director will work closely with our Founder/CEO and Clinical Director to help run the day-to-day business, strengthen our systems, lead and support our administrative team, solve problems as they arise, and build the infrastructure necessary for Rooted Rhythm's continued growth. The Person We're Looking For We are looking for someone who genuinely enjoys building. You may spend one morning thinking through organizational structure, staffing, KPIs, growth strategy, or a major systems transition — and that afternoon troubleshooting a scheduling problem, improving an intake workflow, working with a vendor, reviewing payroll information, or figuring out why a process isn't working. At this stage of our growth, we don't believe strategy can be completely separated from execution. The right person will be willing to get into the work, understand it deeply, improve it, stabilize it, and then thoughtfully delegate it as the organization grows. Help determine priorities, identify organizational bottlenecks, create accountability, and make sure important initiatives actually move forward. Serve as a trusted operational thought partner who can bring perspective, structure, and follow-through while also being willing to challenge assumptions, identify problems, and propose better solutions. Day-to-Day Practice Operations Take ownership of the operational health of the practice.
Responsibilities may include:
Administrative operations Scheduling systems Intake and client-care workflows Staffing and capacity planning Office and location operations Internal communication systems Vendor management Payroll and HR coordination Policy implementation Troubleshooting operational issues Building and documenting SOPs Creating accountability around deadlines and deliverables Making sure projects don't fall through the cracks You won't necessarily perform every task indefinitely. A major part of this role is determining what needs to be done, how it should work, who should eventually own it, and whether the system is actually working. Sometimes that means building or fixing something yourself before it can effectively be delegated. Administrative Team Leadership Help lead and develop the administrative side of the practice, including our intake and client-care functions. Establish clear expectations, accountability, workflows, performance metrics, and communication rhythms across the administrative team. Support existing team leads while maintaining visibility into the day-to-day functioning of the organization. As Rooted Rhythm grows, help determine when responsibilities should be delegated, roles should evolve, or additional team members should be hired. Growth, Intake & Business Performance Although we are a mental health organization, this is also a growing business. The Practice Director should be comfortable thinking about: Inquiry and consultation volume Intake conversion Clinician utilization Client retention Scheduling efficiency Location performance Staffing capacity Revenue implications of operational decisions Identifying barriers preventing families from successfully entering care You do not need to come from a traditional sales background. However, you should understand that providing excellent care requires building a healthy, sustainable organization — and be energized by helping Rooted Rhythm grow. Systems & Technology Take a leadership role in strengthening the systems that support the practice.

EHR transition and implementation CRM and intake workflow optimization Scheduling and clinician-availability systems Automation Reporting and dashboards HIPAA and security processes Documentation and SOP development Improving communication between clinical and administrative systems You do not need to be an engineer or technical expert. You do need to be someone who can learn systems quickly, understand how technology affects operations, work effectively with vendors and team members, troubleshoot problems, and take ownership of implementation from beginning to end. People Operations & HR Coordination Help oversee the operational side of our growing team, including: Hiring processes Onboarding and offboarding Payroll coordination Employee records and systems Benefits administration Role clarity and organizational structure Performance and accountability processes Staff communication Helping identify future hiring needs Our clinical leadership team oversees clinical care, supervision, and therapist development. The Practice Director will partner closely with clinical leadership while primarily owning the business and operational side of the organization. Metrics, Accountability & Continuous Improvement Help us become increasingly data-informed as we grow. Develop and monitor meaningful KPIs across areas such as intake, scheduling, utilization, staffing, client care, and operational performance. More importantly, help turn those numbers into action. When something isn't working, we want someone who asks why , investigates the problem, develops a solution, tests it, and follows through until the system is functioning reliably. Compensation & Benefits Starting salary: $70,000 There is substantial and rapid compensation growth potential based on performance, increasing responsibility, and company growth. We currently provide a small monthly contribution toward individual health insurance costs . Rooted Rhythm is actively transitioning to an employer-sponsored health insurance plan, which we expect to have in place by January 2027. The scope of this position has the potential to expand significantly. For the right person, we envision the Practice Director becoming an increasingly senior member of Rooted Rhythm's leadership team as the organization grows.
