Miami, FL Job Details Full-time | Contract $20 - $25 an hour 6 hours ago Benefits Paid time off Flexible schedule Qualifications Spanish Teamwork English Research Administrative experience Attention to detail Customer relationship management Full Job Description Practice Operations & Growth Coordinator Authentic Growth Counseling | Coral Gables, FL Hybrid | Full-Time or 32-40 Hours/Week Authentic Growth Counseling is a growing boutique group psychotherapy practice in Coral Gables, and we're looking for an bilingual English and Spanish speaking , organized, warm, proactive Practice Operations & Growth Coordinator to become a central part of our day-to-day operations. This is not a traditional receptionist position . We're looking for someone who can confidently manage client-facing administrative responsibilities while also taking ownership of operational projects, referral relationships, systems, and business-growth initiatives. The right person is someone who is comfortable answering the phone and helping a client schedule an appointment, but can also turn around and follow up with a physician referral source, organize a credentialing application, update a project tracker, improve a workflow, or help move a larger business project forward. We are a relationship-driven, intentional practice, so we're looking for someone who is professional, personable, resourceful, and genuinely enjoys helping a growing organization become more organized and efficient. What You'll Be Responsible For Client Experience & Scheduling Answer incoming calls and respond to new-client inquiries during business hours Schedule and reschedule appointments across multiple clinicians Assist clients with basic administrative questions Coordinate new-client onboarding and intake paperwork Follow up with prospective clients and leads Collect copays, session fees, and approved balances Maintain accurate client and scheduling trackers Help ensure clients receive timely communication and a smooth experience with the practice Support clinicians with routine scheduling and office-related questions Practice Operations Support daily administrative operations of the group practice Work within systems including SimplePractice, Headway, email, spreadsheets, and online portals Coordinate with our billing team regarding administrative and client-account needs Assist with insurance verification and benefit coordination Support credentialing, payer enrollment, EAP applications, and provider onboarding Maintain referral, credentialing, and partnership trackers Develop and maintain standard operating procedures Help organize internal systems so tasks do not fall through the cracks Assist with office organization and front-desk coverage Support the practice owner with administrative and operational projects Growth & Business Development Research and contact potential referral partners Support outreach to physicians, healthcare practices, schools, employers, EAPs, community organizations, and other referral sources Follow up consistently with prospective partners and maintain a referral CRM Help coordinate networking and community partnerships Support blog, newsletter, social media, and marketing coordination Track where new-client referrals are coming from Assist with lead-nurture and follow-up systems Help execute growth initiatives and special projects Track basic practice KPIs and assist with weekly or monthly reporting What We're Looking For Strong organizational and follow-through skills
MUST BE BILINGUAL IN SPANISH.
Excellent written and verbal communication Comfortable speaking with clients over the phone Reliable availability during weekday business hours Able to manage multiple moving pieces without becoming overwhelmed Comfortable learning new technology and online systems Strong attention to detail Able to work independently and take initiative Professional, warm, and emotionally intelligent Comfortable working within a mental-health setting and maintaining confidentiality Someone who notices what needs to be done and takes ownership instead of waiting to be given every next step Experience in healthcare, behavioral health, private practice, medical offices, insurance, credentialing, customer service, operations, or business administration is a plus, but we are also open to a highly capable candidate who learns quickly. Schedule This is a hybrid position with a consistent in-person presence at our Coral Gables office approximately 3 days per week . Remaining hours may be completed remotely based on the needs of the practice. We are looking for approximately 32-40 hours per week and need someone with reliable availability during normal weekday business hours. Because part of this role includes phone coverage, scheduling, and responding to client inquiries, consistent daytime availability is important.
Compensation Starting compensation:
$20-$25/hour, depending on experience and qualifications. Opportunity for growth as the role and practice continue to expand. Our team includes licensed clinicians and registered clinicians providing individual, couples, family, and specialty mental-health services.
