Job Summary Join our dynamic healthcare team as a Surgical Scheduler & Patient Care Coordinator, where your energy and organizational skills will make a meaningful difference in patient experiences and clinical efficiency. In this vital role, you will coordinate surgical appointments, manage patient communications, and support clinical staff with administrative excellence. Your proactive approach will ensure seamless scheduling, accurate documentation, and compassionate patient interactions, all while maintaining compliance with healthcare regulations. Responsibilities Schedule surgical procedures and follow-up appointments using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks, ensuring accuracy and timeliness. Serve as the primary point of contact for patients, providing clear information about procedures, pre-op instructions, and post-op care plans through phone communication and in-person interactions. Review medical records and documentation for completeness and accuracy in accordance with HIPAA policies and clinical confidentiality standards. Coordinate with physicians, nurses, and administrative staff to facilitate smooth workflow and efficient patient scheduling and support staff to make sure important tasks are completed. Manage insurance verifications, approvals, and authorizations, medical billing processes including CPT coding (Current Procedural Terminology), ICD-9/10 coding (International Classification of Diseases), and Medicare requirements to ensure proper reimbursement. Maintain detailed records of patient interactions, scheduling updates, and clinical notes within various EHR systems such as Meditech or Athenahealth. Follow up on authorizations, denials, missing documentation, and peer-to-peer requests Provide front desk support by answering phone calls with professional phone etiquette, managing appointment calendars, and assisting with clerical tasks like data entry using Microsoft Office tools.

Experience Prior experience in a medical office environment or clinical setting is highly preferred. Demonstrated proficiency with EMR/EHR systems including Epic, Meditech, Athenahealth, or eClinicalWorks. Strong knowledge of medical terminology, health insurance processes, medical billing procedures, and health information management standards. Experience with medical coding (CPT, ICD-9/10) and documentation review to support accurate billing and compliance. Bilingual abilities are a plus to effectively serve diverse patient populations. Excellent organizational skills combined with the ability to handle multiple priorities efficiently in a fast-paced environment. Familiarity with HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times.
Required:
High school diploma or equivalent Experience in healthcare, procedure/surgery schedule, and/or prior-authorization experience Familiarity with medical terminology and health insurance processes Strong computer skills and comfort learning new technology Excellent organization, communication, and attention to detail
Preferred:
Orthopedic, spine, neurosurgery, pain-management, or other surgical specialty experience Surgical prior-authorization or insurance appeal experience Experience working with hospitals or ASCs Workers' compensation experience Experience with EMRs and insurance payer portals Who Will Do Well Here We are looking for someone who is organized, approachable, and enjoys helping patients.
