Hub Site Coordinator About PASA The Providence After School Alliance's (PASA) mission is to help close persistent opportunity gaps by expanding and improving quality after school, summer, and other out of school time (OST) learning opportunities for all the youth of Providence by organizing a sustainable public-private partnership that contributes to student success and serves as a national model. PASA's partnership model engages middle and high school youth in a variety of learning opportunities that spark their curiosity, connect them to real world experiences, and allow them to explore their interests. Summary of Role The Hub Site Coordinator is responsible for leading the successful daily implementation of PASA's Hub programming at an assigned high school site. The Hub Site Coordinator serves as the primary point person for school-based programming, working closely with youth, families, school administration and faculty, program providers, site-based staff, and PASA colleagues to ensure high-quality, engaging, safe, and responsive out-of-school-time and career-connected learning opportunities. The Hub Site Coordinator supervises and develops site-based staff and volunteers, coordinates program providers and daily program operations, supports youth recruitment, engagement, and retention, oversees program data and quality-improvement activities, and builds strong connections among school-day learning, out-of-school-time experiences, and broader college, career, leadership, and postsecondary pathways. The Site Coordinator is accountable for the effective operation and quality of their assigned site and works closely with the Director of Programs and other PASA staff to support the short- and long-term goals of PASA's high school programming. This position description is intended to describe the general nature and level of work performed in this role and is not intended to be an exhaustive list of all duties, responsibilities, or qualifications. Providence, Rhode Island Areas of Responsibility Site Leadership & Program Implementation Lead the successful day-to-day implementation and operation of Hub programming at the assigned high school site. Ensure programming at the assigned site is implemented consistently with PASA's program model, quality standards, policies, grant requirements, and established procedures. Coordinate daily program schedules, staffing, program providers, space, transportation needs, supplies, and other site-level logistics necessary for effective program implementation. Serve as PASA's primary site-level liaison with school leadership and staff, maintaining strong communication and coordination between school-day and out-of-school-time programming. Maintain consistent communication with PASA program leadership regarding site implementation, needs, challenges, successes, and emerging issues. Support implementation of PASA's short- and long-term high school programmatic goals and connections between Hub programming and other PASA initiatives. Identify site-level challenges, staffing needs, operational concerns, and emerging issues and proactively address or elevate them to the Director of Programs as appropriate. Proactively assess and manage risks within the physical and emotional environment of the site, taking appropriate steps to promote safe, supportive, and inclusive experiences for youth and staff and elevating concerns as appropriate. Ensure required site-level administrative responsibilities, documentation, schedules, registration information, attendance records, incident reporting, and other established processes are completed accurately and on time. With the support of the Senior Site Coordinator coordinate multi-site-level field trips, college and employer visits, transportation needs, special activities, and other program logistics in accordance with established PASA processes. Coordinate site-level field trips and special events. Provide on-site leadership in responding to emergencies, incidents, program disruptions, and other issues in accordance with PASA policies and procedures. Youth Development, Engagement & Pathways Build strong relationships with participating youth and promote meaningful youth voice, choice, leadership, and agency throughout programming. Actively engage youth in the design, implementation, and continuous improvement of Hub programming. Support equitable youth recruitment, registration, participation, retention, and transitions, with particular attention to identifying and reducing barriers to participation. Maintain consistent, responsive, and accessible communication with youth and families throughout the program cycle. Create opportunities for youth and families to provide feedback that informs program planning and continuous improvement. Support youth leadership and advisory opportunities connected to Hub programming and PASA's broader work. Support young people in exploring their interests, developing skills, building social capital, and connecting to college, career, leadership, workforce, and other postsecondary opportunities and pathways. Help youth navigate and connect to relevant opportunities, resources, programs, and partners based on their interests, goals, and needs. Problem-solve collaboratively with staff, youth, families, program providers, school partners, and other appropriate partners to address barriers to participation and ensure youth participation and development goals are supported. Staff Leadership & Development Supervise, support, and develop the Assistant Site Coordinator and other frontline staff, volunteers, and interns assigned to the Hub site. Establish clear expectations for site-based staff and provide ongoing coaching, feedback, observation, and support to promote effective performance and high-quality youth experiences. Participate in and, as assigned, lead recruitment and hiring activities for site-based staff, including reviewing candidates, coordinating and conducting interviews, and making hiring recommendations to the Director of Programs. Support effective orientation and site-level onboarding of new program staff and volunteers in coordination with the Director of Programs and Director of Operations. Identify professional-development, training, and coaching needs among site-based staff and communicate needs and recommendations to the Director of Programs. Ensure site-based staff understand and fulfill the responsibilities of their respective roles, including program preparation, youth engagement, required documentation, attendance, communication, and participation in required meetings and professional-development activities. Communicate staffing needs, scheduling concerns, performance issues, and other emerging challenges to the Director of Programs in a timely manner. Participate in relevant PASA staff meetings, program planning meetings, trainings, and professional-development opportunities. Data, Program Quality & Continuous Improvement Oversee the timely and accurate collection, entry, monitoring, and review of youth enrollment, participation, attendance, retention, family outreach, and other required program data at the assigned site. Ensure required program documentation and data are accurate, complete, and submitted in accordance with established timelines. Ensure high-quality program implementation at the assigned site and support successful completion of applicable program quality assessment and continuous improvement processes, including the Rhode Island Program Quality Assessment (RIPQA) as applicable. Regularly review site-level data to identify trends, participation concerns, program strengths, and opportunities for improvement. Use program data, observations, quality assessments, youth and family feedback, and other relevant information to inform program decisions and conversations with staff, providers, school partners, and PASA leadership. Work collaboratively with program providers, school partners, staff, and PASA leadership to address identified quality, participation, or implementation concerns. Implement continuous quality improvement strategies at the assigned site and monitor progress toward identified goals. Communicate emerging participation, attendance, quality, or implementation concerns to the Director of Programs in a timely manner. School, Provider & Community Partnerships Build and maintain strong working relationships with school administrators and faculty, community-based program providers, employers, higher education institutions, workforce organizations, and other partners supporting Hub programming. Coordinate the day-to-day participation and successful implementation of community-based program providers and other partners at the assigned site. Serve as the primary site-level point of contact for program providers and ensure providers receive the information, schedules, logistical coordination, and site support necessary for successful implementation. Monitor provider implementation and youth experience and communicate performance, quality, logistical, or partnership concerns to the Director of Programs as appropriate. Provide program providers and partners with relevant information, expectations, observations, and feedback necessary to support high-quality youth experiences. Work collaboratively with community, higher education, workforce, and industry partners to connect young people to meaningful enrichment, career exploration, work-readiness, leadership, postsecondary, and other learning opportunities Use youth participation data, program observations, youth feedback, and other relevant information to inform conversations with program providers, school partners, and other stakeholders. Submit accurate and timely site-level transportation needs, provider documentation, and other required information through established PASA processes. Represent PASA professionally in school, community, provider, employer, higher education, and other program-related settings. Collaborate with other PASA Site Coordinators and program staff to support consistency, shared learning, and coordination across PASA sites and initiatives.
Qualifications Required:
Bachelor's degree in education, youth development, social work, nonprofit management, or a related field, or an equivalent combination of education and relevant professional experience. A minimum of two years of professional experience working with youth in education, youth development, out-of-school-time, community-based programming, or a related setting. Experience and demonstrated interest in working with high school-age youth. Experience coordinating or implementing youth programs, activities, or services. Experience supervising, coaching, or supporting staff, volunteers, interns, and/or other youth-serving professionals. Demonstrated ability to build positive relationships with youth, families, school staff, community partners, and colleagues. Strong organizational and project-management skills, with the ability to manage multiple priorities, meet deadlines, and follow through on commitments. Strong written and verbal communication skills. Ability to work collaboratively across departments and provide responsive support to internal staff and external partners. Strong problem-solving skills and ability to anticipate needs, assess risks, respond appropriately to changing circumstances, and elevate concerns when necessary. Strong technology skills, including proficiency with Microsoft Office, Google Workspace, database systems, and other relevant program technology. Ability to maintain accurate records and handle sensitive and confidential youth, family, and personnel information with discretion and sound judgment. Ability to work the schedule necessary to support Hub programming, including required program hours, meetings, trainings, professional development, and occasional events outside of regular program hours.
Preferred:
Experience working in out-of-school-time, expanded-learning, career-connected learning, workforce development, or college and career readiness programming. Experience working in a public high school environment. Experience supervising or coordinating school-based or site-based youth programming. Experience with program quality assessment, continuous quality improvement, and/or youth program data, including RIPQA or similar frameworks. Working knowledge of Providence Public Schools and Providence communities. Experience working in a nonprofit or grant-funded organization. Familiarity with 21st Century Community Learning Center programming or other publicly funded youth programs. Experience building or maintaining partnerships with employers, higher education institutions, workforce organizations, and/or other career-connected learning partners. Fluency in Spanish or another language commonly spoken by Providence youth and families.

Work Environment & In-Person Expectations PASA's work is relationship-driven, and the Hub Site Coordinator's responsibilities are primarily performed in person at the assigned program site, PASA's office, and other program, school, meeting, training, and event locations. Regular and reliable in-person presence during scheduled program hours is an essential component of the role given the position's responsibility for youth safety, site operations, staff supervision, program quality, and relationships with youth, families, school staff, providers, and partners. The position may occasionally require work outside of standard business hours for programming, meetings, trainings, family engagement activities, college or employer visits, special events, or other PASA-related responsibilities. Physical Requirements The physical demands described below are representative of those required to successfully perform the essential functions of this position. This position requires regular movement throughout school and program environments and may involve extended periods of standing, walking, observing programming, interacting with youth and staff, and moving between program spaces. The employee may occasionally be required to move or transport program, meeting, or event materials and supplies. Remuneration This is a full-time, exempt position. Compensation is established based on the responsibilities of the position, relevant experience, internal equity, and PASA's approved compensation structure. PASA offers a comprehensive benefits package to eligible employees in accordance with current organizational policies. The salary range is $43,888 - $50,000 depending upon experience plus benefits (medical, dental, 403 (b), FSA, holidays, vacation, and sick days).
