Front Desk Patient Coordinator Primary Care | Functional Medicine |
Chiropractic Pay:
$18-20/hour to start, based on experience
Schedule:
Monday, Wednesday, Thursday 11:00 AM - 7:00/7:30 PM | Tuesday, Friday 8:30 AM - 4:00 PM We're an integrated practice offering primary care, functional medicine, chiropractic, and rehabilitative services. Most of our patients are on ongoing care plans with multiple visits across several providers — which makes our front desk the hub of the whole operation. We're looking for someone who thrives on a busy day and takes pride in getting the details right. What You'll Do Check patients in. Greet them, verify their information, make sure paperwork is complete, and keep the clinical team informed about who's arrived and who's running behind. Check patients out. Review what the provider recommended, get the next appointments on the books, explain what the patient owes, and make sure they leave knowing exactly when they're coming back. Manage the schedule. Book new and follow-up visits across multiple providers, catch conflicts and gaps before they become problems, work the cancellation and recall lists, and follow up with patients who haven't scheduled recommended care. Handle payments. Collect copays, coinsurance, deductibles, and balances. Process cash and card transactions accurately, provide receipts, and post everything to the right account. Prep the day. Review the schedule before patients arrive, get charts and administrative details ready, and flag anyone who'll need extra scheduling or financial attention. Close out the day. Reconcile payments against what's in the system, balance the drawer, run end-of-day reports, and resolve or document any discrepancy. Who Thrives Here This is a fast-paced desk. You'll often be checking one patient out while the phone rings and another walks in. The people who do well in this role can hold several open threads at once and circle back to each one without dropping any of them — and they catch the small stuff even on the busiest afternoons. You'll likely enjoy this job if you: Move quickly and stay organized under pressure Notice when something doesn't add up Are comfortable talking with patients about money and scheduling Are warm on the phone and in person Like finishing what you start rather than handing off loose ends This may not be the right fit if you prefer a quieter reception role, dislike handling payments, or find frequent interruptions draining. Qualifications Required Strong attention to detail and organizational skills Clear, professional communication in person and by phone Comfort with computers and willingness to learn EMR and practice-management software Accuracy with financial transactions Reliable attendance Helpful, but not required Healthcare, chiropractic, dental, or physical therapy front-desk experience Experience with patient check-in/check-out, payment collection, or daily reconciliation Background in customer service, hospitality, banking, or scheduling We'd rather hire an organized, energetic, accountable person and teach them healthcare than hire experience without initiative. We'll train you on our systems.
