Job Description

We are seeking an experienced and personable Patient Services Manager to oversee and lead our reception area. The ideal candidate will bring strong leadership skills, a warm and professional demeanor, and a commitment to delivering an exceptional patient experience. Work will take place alternately between two locations : 9160 Carothers Parkway Suite 201, Franklin, TN 37067, and 2201 Murphy Avenue Suite 401, Nashville, TN 37203.
Hours:
Monday-Friday, 8:00am-4:30pm Key Responsibilities Supervise, coach, and manage front desk and administrative staff, including PTO tracking and coverage coordination. Maintain and enforce SOPs; drive process improvements for scheduling, patient intake, and financial workflows. Work with leadership and physicians to track and analyze key performance indicators (KPIs), including referral trends, conversion rates, no-show rates, patient wait times, NP consult-to-diagnostic/treatment timelines, and financial clearance times, identifying opportunities for process improvement and enhanced patient experience. Ensure compliance with payer requirements, HIPAA, and internal policies. Coordinate with Revenue Cycle Management (RCM) tasks and support billing and documentation accuracy. Manage provider schedules and participate in NPS meetings to optimize efficiency. Oversee and support schedule scrubbing, financial clearance checks, insurance verification, and medical record review. Track and report outcomes data for Maven, Kindbody, and Progyny. Coordinate with centralized teams—including VOI, Prior Authorizations, Financial Counseling, New Patient Scheduling, and RCM—to support seamless operations. Qualifications High school diploma or GED required; college coursework preferred. Minimum 1 year management experience in a medical or administrative setting preferred. Advanced Excel skills , including building tables, creating formulas, analyzing data, and reporting on trends and KPIs. Knowledge of payer requirements, authorization workflows, denial prevention, and revenue cycle processes; CPC preferred. Experience with EMR and practice management systems; support of system implementations and upgrades a plus. Strong communication and collaboration skills. Experience in REI, women's health, or specialty practice preferred. Why You'll Love Working Here -
